Veterinary Practice Manager Longleaf Animal Hospital
Longleaf Animal Hospital is seeking a purposeful and enthusiastic individual to join our hospital as a full-time Practice Manager. We are a family-oriented, fast paced, growing small animal veterinary clinic. We are looking for a forward-thinking, friendly, experienced leader with integrity for a leadership position. This individual will principally be in charge of making sure the clinic day-to-day operations run smoothly while keeping the ‘big picture’ of the clinic’s success in mind. This person will be an advocate for Longleaf Animal Hospital. This individual needs to be able to think ‘outside the box’, creativity is preferred. This person does not need past veterinary employment, diverse life experiences are a plus. We are looking to create a unique, enhanced experience for our patients and their people.
This is a full-time position that may require duties to be performed on nights, weekends, and holidays. Various projects may need to be completed outside of regular business hours. The primary role of all our Longleaf Animal Hospital employees is to ensure that our clients and patients experience top-notch customer service and patient care. Practice Manager responsibilities include:
- Assist all staff with their duties as needed.
- Facilitate the hiring, training, and individual professional growth of support staff.
- Maintain the hospital safety guidelines within OSHA requirements.
- Handle employee grievances.
- Prepare employee work schedules and manage payroll within a given budget.
- Track employee hours, call in payroll information, and deliver paychecks.
- Oversee inventory (Deal with Sales Reps, order supplies, track inventory, and inform Vets of new products or specials).
- Track invoices and prepare hospital bills for Owner to pay.
- Develop and maintain a marketing strategy.
- Manage client account deliverables and receivables.
- Perform bookkeeping duties (enter checks, electronic transfers, and deposits in QuickBooks and reconcile bank statements).
- Prepare financial statements for Owners and/or accountant as needed.
- Put out fires (coordinate the appropriate measures to take when equipment or the facility need repairs or improvements).
- Other related duties as assigned.
Minimum Qualifications:
Knowledge of small business financial operations, human resources, inventory control, employee scheduling, and bookkeeping. Qualified applicants will have the following traits & abilities:
- Possess confidence and self-promotion. Pursue continuing education as a Practice Manager. Communicate effectively with practice owners to improve staff efficiency, promote hospital growth, improve client experiences, and increase financial gains.
- Demonstrate creativity and adaptability for problem-solving
- Remain flexible with regards to schedule and responsibilities
- Effectively convey the Owner’s views and policies to the clients, sales reps, and hospital personnel.
- Proficient use of computer software (QuickBooks/Word/Excel).
- Manage inventory, organize invoices, prepare bills, and account receivables.
- Effectively market the practice.
- Settle client and employee grievances.
- Hire and train support staff.
- Maintain a positive attitude and feel comfortable in a leadership role.
- Deal well with confrontation and feedback.
- Work independently making daily decisions with overall practice improvement in mind
Education
Associate’s or Bachelor’s Degree in a related field is preferred but not required
Experience
At least 3 years at a small business in a similar role is preferred. Medical or healthcare experience is a plus.
