Job Summary
We are seeking a highly organized and proactive Real Estate Office Manager to oversee daily operations within our dynamic real estate office. The ideal candidate will be responsible for managing administrative functions, supervising staff, coordinating client interactions, and ensuring smooth office workflows. This role requires excellent communication, organizational skills, and experience in office management to support our team and enhance overall productivity.
Responsibilities
- Oversee daily office operations, including front desk management and multi-line phone systems
- Manage calendar scheduling for agents, appointments, and meetings
- Supervise administrative staff and coordinate training & development initiatives
- Handle vendor management, including service providers and office supplies procurement
- Maintain bookkeeping records using QuickBooks and perform basic bookkeeping tasks
- Assist with human resources functions such as payroll processing and employee record keeping
- Manage budgeting processes to ensure efficient allocation of resources
- Organize and plan events related to office activities or client engagement
- Ensure proper filing systems are maintained for client records, contracts, and other documentation
- Oversee medical office management tasks when applicable, including compliance with health regulations
- Implement and monitor office policies to ensure compliance with industry standards and company procedures
- Provide exceptional phone etiquette and communication skills to foster positive client relationships
- Support team management efforts by coordinating schedules, tracking performance metrics, and facilitating team meetings
Qualifications
- Proven experience in office management, administrative support, or clerical roles within a real estate or related environment
- Supervising experience with a demonstrated ability to lead teams effectively
- Proficiency in QuickBooks, calendar management tools, and multi-line phone systems
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Experience in event planning, vendor management, budgeting, payroll, bookkeeping, and human resources is preferred
- Excellent communication skills—both verbal and written—and professional phone etiquette
- Background in medical office management or similar fields is a plus but not required
- Demonstrated ability to handle front desk responsibilities with professionalism and efficiency
- Ability to adapt quickly to changing priorities and maintain a positive attitude in a fast-paced environment
- we do have a lot of Spanish-speaking tenants so Spanish as a second language is a benefit, but not a requirement
