ROLE OVERVIEW
The Marketing & Sales Operations Coordinator is the operational backbone of Long Cove’s residential sales organization—responsible for ensuring that the sales engine runs clean, efficiently, and with full performance visibility. This role bridges sales, marketing, and leadership through disciplined CRM management, reporting, transaction coordination, and campaign execution support.
This position allows frontline sales leadership and producers to remain focused on revenue generation while ensuring that data integrity, marketing execution, pipeline visibility, and operational follow-through remain consistently elevated.
CORE RESPONSIBILITIES
CRM, Data Integrity & Reporting
- Serve as the primary administrator for the CRM system across all sales roles.
- Ensure all leads, prospects, buyers, and transactions are accurately entered, updated, and maintained.
- Monitor lead routing, response time performance, follow-up activity, and pipeline progression.
- Generate weekly and monthly reports for leadership including:
- Lead volume and source tracking
- Conversion ratios
- Pipeline stage distribution
- Escrows, deposits, and closings
- Buyer fallout and retention risk
- Maintain real-time inventory tracking and master escrow reporting.
Marketing Execution & Campaign Support
- Execute day-to-day marketing support for on-site and digital campaigns in collaboration with the Director of Marketing.
- Support the launch and tracking of email campaigns, broker outreach initiatives, event promotions, and digital advertising coordination.
- Track campaign performance, lead attribution, and ROI by channel.
- Manage creative asset distribution to the sales team including presentations, digital brochures, floor plans, and pricing updates.
Transaction & Escrow Coordination
- Support the Director of Residential Sales and Senior Sales Associates with transaction file setup, documentation tracking, and internal compliance workflows.
- Assist with escrow milestone tracking including deposits, contingencies, inspections, and scheduled closings.
- Maintain accurate internal deal files for auditing, reporting, and leadership review.
Sales Operations & Team Support
- Support scheduling coordination for on-site coverage, events, broker previews, and buyer appointments.
- Assist with onboarding new sales team members including system access, CRM setup, and process training.
- Ensure all internal sales protocols, templates, and systems remain current and standardized.
- Act as the central point of communication between marketing, sales, and leadership for operational execution.
Event & Broker Program Support
- Support logistics, registration tracking, and follow-up routing for all on-site events and broker activations.
- Assist with database segmentation and invitation management for targeted outreach initiatives.
- Ensure post-event data capture is complete and routed to the appropriate sales team members for immediate follow-up.
REQUIRED PROFILE & QUALIFICATIONS
- 2–5 years of experience in sales operations, marketing coordination, real estate administration, or project coordination roles preferred.
- Strong CRM proficiency with demonstrated experience managing lead flow, reporting, and pipeline tracking.
- Highly organized, detail-oriented, and process-driven with exceptional follow-through.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office, digital scheduling platforms, and marketing tools.
- Comfortable supporting leadership in a high-performance, fast-paced environment.
- Self-directed, accountable, and proactive in identifying operational gaps and improvements.
