Office Administrative AssistantPosition Summary
The Office Administrative Assistant provides administrative and clerical support to ensure the efficient operation of a truss manufacturing facility. This position serves as a key point of communication between office staff, production personnel, customers, vendors, and delivery drivers. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced manufacturing environment.
Essential Duties and Responsibilities
- Answer and direct incoming phone calls and greet visitors, customers, and vendors.
- Process customer orders, work orders, purchase orders, invoices, and other production-related documentation in software.
- Maintain accurate records of customer files, production schedules, inventory reports, and shipping documents.
- Coordinate communication between the sales, engineering, production, and dispatch departments as needed.
- Prepare daily production reports, delivery paperwork, and other operational documents.
- Assist with scheduling deliveries, coordinating freight, and communicating delivery updates.
- Enter and maintain data in company software systems, including order management and inventory systems.
- File, scan, and organize electronic and paper records.
- Monitor office supplies and place orders as needed.
- Assist with payroll data collection, employee timekeeping, and HR paperwork as assigned.
- Maintain confidentiality of company and employee information.
- Assist management with special projects and administrative tasks.
- Follow all company safety policies and procedures.
Qualifications
- High school diploma or GED required; associate degree or administrative certification preferred.
- Minimum of 2 years of administrative or office experience, preferably in manufacturing, construction, or industrial operations.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Experience with ERP, accounting, or production management software is preferred.
- Strong organizational, multitasking, and time management skills.
- Excellent written and verbal communication skills.
- Ability to work independently while supporting a collaborative team environment.
- Strong attention to detail and accuracy.
Preferred Skills
- Experience in the building materials, construction, or truss manufacturing industry.
- Knowledge of shipping documents, purchase orders, and inventory control.
- Familiarity with scheduling, dispatching, or logistics operations.
- Basic bookkeeping or accounting experience.

This position is primarily located in the office of a truss manufacturing facility with occasional interaction in the production area. The work environment is fast-paced and requires frequent communication with office staff, production employees, customers, vendors, and delivery personnel.
