Role Description
This is a full-time, on-site position based in Delray Beach, FL. As a Marketing Agency Operation Manager, you will oversee daily operations, streamline processes, and manage marketing strategies to ensure the seamless functioning of the agency. Your responsibilities will include managing marketing operations, analyzing workflows, leveraging marketing automation tools, and collaborating with cross-functional teams. You will play an integral role in aligning operational efficiency with overall marketing goals to drive results for the agency and its clients.
Key Responsibilities
Workflow & Process Management
Build, refine, and enforce operational workflows using Function Point (FP) as the agency’s central project management platform.
Create SOPs and internal guidelines that support premium-level service and creative delivery.
Audit internal processes to identify bottlenecks and streamline cross-team collaboration.
Project & Resource Management
Oversee timelines, deliverables, and project scopes within Function Point, ensuring accuracy and visibility across teams.
Manage team schedules, resource forecasting, and workload balancing—ensuring high productivity without compromising on luxury-level quality.
Develop dashboards and reporting frameworks in FP to support leadership decision-making.
Luxury Client Experience
Ensure all deliverables and communications meet luxury-sector expectations of refinement, personalization, and exceptional detail.
Support account teams in delivering smooth, polished client experiences—from onboarding to campaign launch.
Anticipate client needs and proactively address operational challenges.
Cross-Team Coordination
Serve as the operational connector between strategy, creative, production, digital, and leadership teams.
Lead weekly production meetings, communicating priorities, risks, and updates clearly.
Maintain professional relationships with premium external partners (photographers, production houses, stylists, PR teams).
Financial & Efficiency Management
Monitor budgets, time tracking, and profitability within Function Point.
Ensure accurate job costing and reporting for leadership reviews.
Recommend tools and workflow improvements that elevate efficiency and align with luxury brand standards.
Quality Assurance
Implement quality checkpoints to ensure creative output aligns with luxury aesthetics and brand positioning.
Oversee approval processes, asset management, and version control in Function Point.
Support risk management and problem-solving when issues arise during production.
Qualifications
3–7 years in agency operations, project management, or traffic management (luxury, fashion, beauty, hospitality, or lifestyle sectors preferred).
Proficient experience with Function Point (administration, reporting, resource planning, workflows).
Strong understanding of luxury consumer behavior, luxury brand values, and high-end market trends.
Proven ability to manage multiple projects with precision and calm.
Excellent communication skills, leadership mindset, and meticulous attention to detail.
