Job Summary: The Grant Administrator provides oversight and administrative management for the California Institute for Regenerative Medicine (CIRM) grant and supports the Principal Investigator (PI) in the execution of various tasks and components of the grant. Primary responsibilities include the management of progress reports, landing page components, grant milestone timelines, data-sharing, dashboards, and operational standard operating procedures (SOPs), either directly or in collaboration with other grant personnel and program components.

The role is responsible for coordinating and facilitating multiple components of the grant, executing assigned grant-related tasks, and partnering with the PI in bi-monthly CIRM working group meetings, CIRM-sponsored events, and presentation preparation. The Grant Administrator also collaborates with post-award and finance teams to support fiscal oversight, reporting, and grant closeout activities.

Serving as a primary point of contact and coordination for internal stakeholders and the PI, this position ensures that all the grant’s components are administered and executed in alignment with grant objectives, sponsor requirements, institutional policies, and applicable regulations. Performs other duties as needed.

Education and Experience: Bachelor’s degree in business, finance, public administration, science or a related field (or equivalent combination of education and experience). Experience with federal and/or state grants, compliance frameworks, project management, supporting proposal submissions and/or managing subrecipient monitoring required. Three years of experience in similar scope grant administration is preferred.

Knowledge and Skills: Attention to detail and commitment to accurate documentation and data integrity. Analytical and problem-solving skills; ability to identify compliance risks and propose practical solutions. Ability to work effectively with cross-functional teams (program, finance, legal, procurement, leadership). Ability to handle sensitive or confidential information with discretion. Strong organizational skills with ability to manage multiple deadlines and priorities. Read, write legibly, and speak in English with professional quality; use computer, printer, and software programs necessary to the position (e.g., Word, Excel, Outlook, PowerPoint); ability to learn new systems quickly. Operate/troubleshoot basic office equipment required for the position. Work calmly and respond courteously when under pressure; collaborate and accept direction. Think critically; manage multiple assignments effectively; organize and prioritize workload; work well under pressure; recall information with accuracy; work independently with minimal supervision. Distinguish colors as necessary; hear sufficiently for general conversation in person and on the telephone, and identify and distinguish various sounds associated with the workplace; see adequately to read computer screens, and written documents necessary to the position.

Licensures and Certifications: Professional certification (e.g., Certified Research Administrator (CRA), Certified Grants Management Specialist (CGMS), or similar) is preferred.
