Marketing Operations Specialist
About the Role We're looking for a 0-1 start-up builder to build the operating rhythm, and everything associated with it, so our marketing engine stays humming and everything is on track. We want a highly organized, proactive Marketing Operations Specialist to become the operational backbone of our marketing function. This is not a strategy, campaign manager or creative role at all; it’s a project task oriented role,that keeps the function in order and is a build/ grind.
You'll own marketing systems, campaign operations, reporting, project management, and process improvement. You'll thrive if you enjoy figuring things out, creating structure from ambiguity, and solving problems independently.
This role is ideal for someone with 1-2 years of experience in a startup or high-growth environment who enjoys building processes and tools, rather than simply following them (although you will follow what you build! And iterate as we grow and the unknowns become known). The role reports to the Chief of Staff/ Head of Business Operations.
What You'll Own
Marketing Operations
- Own HubSpot Marketing Hub administration, campaign setup, workflows, reporting, dashboards, and automation.
- Manage marketing systems including HubSpot, Apollo, Lemlist, ClickUp, Meta Ads, and Google Ads.
- Maintain marketing data integrity, attribution, campaign tracking, and reporting.
- Troubleshoot system, campaign, and attribution issues and identify practical solutions.
Campaign Execution
- Coordinate and launch marketing campaigns across multiple channels.
- Monitor campaign performance and recommend tactical optimizations.
- Ensure campaigns are delivered on time, on budget, and with measurable results.
Project Management
- Own the marketing ClickUp workspace.
- Build project plans, timelines, and campaign workflows.
- Coordinate work across the marketing team and assign tasks within the coordinator's scope.
- Proactively identify blockers and keep projects moving without requiring constant direction.
Process Improvement
- Audit existing marketing systems and identify underutilized functionality.
- Build repeatable processes, documentation, templates, and SOPs.
- Identify gaps between marketing strategy and execution, then recommend practical solutions.
Reporting & Insights
- Build and maintain dashboards and KPI reporting.
- Monitor campaign performance and marketing effectiveness.
- Present actionable recommendations, not just data
What We're Looking For
Required
- 1-2 years of experience in operations (hands on tactical experience building the solves to marketing and/or operational issues)
- Startup experience (scrappy, get it done, hustle, band aid solutions that work today, and can be ripped/replaced tomorrow). Okay with imperfection in process, but not at the expense of accurate data.
- Optional: Hands-on HubSpot Marketing Hub/ CRM experience, including campaigns, workflows, reporting, and dashboards
- Experience managing ops projects and coordinating multiple priorities and pushing stakeholders who are busy to prioritize what’s needed.
- Strong analytical and problem-solving skills.
