SUMMARY
Reporting to the Operations Supervisor, the Bonded Warehouse Coordinator is responsible for managing all administrative aspects of the bonded warehouse. Including but not limited to filing paperwork, creating and updating excel spreadsheets and communicating entry details with our third-party customs brokerage team. This role will also be responsible for replenishment, requiring stock order transfer (STO) creation in SAP for all Bonded Warehouse moves between US Distribution and Canada as well as non-bonded moves from plant to DC lanes.
The ideal candidate demonstrates exceptional attention to detail, is comfortable working on a PC, has hands-on experience with SAP and Excel, and maintains strong organizational and time-management skills.
1st Shift Schedule: Monday-Friday, hours may vary based on volume
RESPONSIBILITIES

Maintain proper documentation and records for customs and audits consistent with CFR-19 class 3 Bonded Warehouse protocols.
- Coordinate with customs brokers, freight forwarders, and regulatory agencies.
- Ensure accurate inventory control, reconciliation, and reporting. Filing Manifest Discrepancy reports when less freight is received than manifested.
- Maintain proper filing of all Bonded paperwork including CBP Form 7512 (Transportation Entry and Manifest of Goods), CBP Form 7501 (Entry Summary), and maintain an ongoing excel file which will be referenced as the Tally Sheet.
- Tally sheet entries must include Import Date, Beginning Balance of product, and track the movement of each product out of the bonded space.
- All paperwork will need to be filed and maintained in a designated secure location.
- Maintain a driver’s log documenting: driver/co-driver details, vehicle/trailer number, seal number, shipper/receiver info, and purchase/delivery orders.
- Loading/unloading times and locations must also be documented in the driver’s log and all information must be kept confidential.
- Verify trailer seals are intact and check for tampering (false walls, modifications) at stops, reporting anomalies immediately.
- Prepares all inbound and outbound transport carrier paperwork, including customer specific requirements related to STO requests.
- To ensure accuracy of inventory levels, cycle counts are required at minimum on a weekly basis and as needed.
- Internal audits will be required monthly and will be the primary responsibility of the Bonded Coordinator to ensure compliance with all Bonded regulations.
EXPERIENCE/EDUCATION
- Minimum High School Diploma or GED
- College diploma in Logistics Management, Supply Chain or related field preferred.
- Preferred experience (2-3 years) managing a bonded warehouse or similar regulated warehouse environment.
- Strong understanding of customs regulations, bonded goods handling, and compliance requirements.
- Previous experience with Warehouse Management Information System (WMS), preferably SAP.
- Excellent leadership, organizational, and communication skills.
- Ability to work in a fast-paced, deadline-driven environment.
