Job Summary
We are looking for a detail-oriented and proactive Administrative Assistant to join our team on a fully remote basis. In this role, you'll provide essential administrative support to our construction operations, including handling communications, organizing project documentation, and assisting with social media presence. This position is ideal for someone with construction industry exposure who thrives in a virtual environment and can bridge communication effectively across time zones.
Key Responsibilities
- Answer and manage incoming phone calls professionally, taking messages, directing inquiries, and providing initial support to clients, vendors, and team members.
- Organize and maintain digital and physical project files, ensuring easy access, accuracy, and proper documentation for ongoing U.S. construction projects.
- Assist with social media management, including scheduling posts, responding to comments/messages, and helping maintain our company's online presence (e.g., project updates, company news).
- Support general administrative tasks such as data entry, scheduling meetings across time zones, preparing correspondence, and coordinating with project managers.
- Help track project-related documentation and communicate with subcontractors, vendors, and internal teams as needed.
- Perform other administrative duties to support efficient daily operations in a fast-paced construction environment.
Qualifications & Requirements
Required:
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office (especially Word, Excel, and Outlook) or similar tools.
- Reliable high-speed internet and a quiet, professional home office setup for remote work.
- Ability to work U.S. business hours (with flexibility for occasional early/late calls due to time zone differences).
Preferred:
- Previous experience in the construction industry (e.g., working with project documentation, subcontractors, or field operations).
- Familiarity with Procore construction management software (a huge plus – training available if needed).
- Experience with social media platforms (e.g., Facebook, Instagram, LinkedIn) for business purposes.
- 1–3 years of administrative or office support experience.
