Document Control Specialist - Transportation

Logic
Seattle, WA Full Time
POSTED ON 10/29/2026
AVAILABLE BEFORE 11/27/2026

ABOUT THIS ROLE

Logic is seeking an organized and detail-oriented Document Control Specialist with utilities and/or transportation industry experience to support a major infrastructure client in the Seattle area. In this role, you will maintain, organize, store, and retrieve the project and administrative documents behind a portfolio of large-scale transportation infrastructure projects, many of which involve utility coordination, relocations, and construction work. You’ll make sure the records project teams rely on are accurate, current, and easy to find. This role is a great fit for candidates with 2 years of document control experience in the utilities (electric, gas, water, or telecom) and/or transportation industry. You will work closely with project managers, engineers, utility coordinators, project controls staff, and administrative teams. This is a hybrid role with regular onsite work required in the Seattle area.

KEY RESPONSIBILITIES

  • Maintain, organize, store, and retrieve project and administrative documents in both electronic and physical filing systems, applying utility and transportation industry document control best practices.
  • Intake, log, and index incoming documents (e.g., engineering drawings, as-builts, specifications, contracts, permits, easements, correspondence, meeting minutes) according to established naming conventions and filing standards.
  • Manage project related documentation, including:
  • Utility relocation and coordination records
  • Engineering drawings, design packages, and as-built drawings
  • Permits, easements, and right-of-way documents
  • Third-party utility agreements and correspondence
  • Construction submittals, work orders, and field documentation
  • Apply version control to documents so that teams always work from the most current approved revisions.
  • Track and distribute transmittals, submittals, and RFIs to the appropriate stakeholders, including utility owners, contractors, and third parties, and keep accurate records of reviews, responses, and approvals.
  • Review documents for completeness, accuracy, and compliance with project document control procedures.
  • Maintain document registers, logs, and tracking reports, and provide status updates to project leadership as requested.
  • Respond to document retrieval requests from project team members promptly and accurately.
  • Support audits, inspections, and records requests by gathering and preparing the required documentation.
  • Archive closed or superseded records according to the client’s records retention requirements.
  • Protect confidential and sensitive information, including critical infrastructure records, by following access controls and security protocols.
  • Help improve document control workflows, templates, and filing structures as the program grows.
  • Perform other administrative and document control duties as assigned in support of the broader project team.

REQUIRED QUALIFICATIONS

  • Bachelor’s degree or Associate’s degree (2 years) preferred in Business Administration, Information Management, Construction Management, or a related field — or an equivalent combination of education and experience.
  • 2 years of document control experience within the utilities and/or transportation industry required.
  • Working knowledge of infrastructure project documentation (e.g., engineering drawings, as-builts, submittals, RFIs, permits, easements).
  • Proficiency in Microsoft 365 (Excel, Word, Outlook, Teams).
  • Experience working with electronic document management systems and shared file structures.
  • Strong attention to detail and accuracy in managing large volumes of documents.
  • Excellent organizational and time management skills, with the ability to handle multiple priorities.
  • Clear written and verbal communication skills.
  • Ability to work onsite in the Seattle area on a regular hybrid schedule.

PREFERRED QUALIFICATIONS

  • Familiarity with utility infrastructure work (transportation, distribution, transmission, substation, or similar) preferred.
  • Experience supporting large-scale transportation capital projects (e.g., rail, highway, bridge, or public works) is a plus.
  • Experience with utility relocation or coordination on infrastructure projects is a plus.
  • Experience with utility or construction document management platforms (e.g., SAP, SharePoint, Bluebeam, Aconex, e-Builder) preferred.
  • Familiarity with public sector or utility records retention and recordkeeping practices preferred.
