Physical Plant Coordinator / Maintenance Coordinator

Position Summary
We are seeking a highly organized and versatile Physical Plant Coordinator to support the daily operations of our maintenance department. This unique role combines administrative support, shop coordination, CMMS work order management, and occasional maintenance assistance. The ideal candidate will possess a maintenance background, strong organizational skills, and the ability to effectively communicate with staff, contractors, and vendors.
Key Responsibilities
- Assist with the management and workflow of work orders through the FIIX CMMS system (training provided; previous CMMS experience is preferred).
- Support maintenance leadership by assigning and tracking work orders when the Maintenance Manager is unavailable.
- Maintain accountability and inventory of high-value tools and equipment.
- Organize and maintain the cleanliness of the maintenance shop and storage areas.
- Serve as an administrative liaison between the Director, Maintenance Manager, contractors, and vendors.
- Make and receive phone calls as requested to coordinate projects and provide updates.
- Pick up parts, materials, and supplies for the maintenance department as needed.
- Attend bi-weekly Physical Plant meetings and record meeting minutes using an AI-assisted note-taking device (training provided).
- Assist with maintenance tasks during emergency situations or when additional support is required.
- Maintain accurate documentation of ongoing and future projects.
Qualifications
Required:
- Maintenance background with general understanding of building maintenance operations.
- Knowledge of tools, equipment, and shop practices.
- Basic to intermediate computer skills.
- Strong organizational and communication skills.
- Ability to work independently and prioritize multiple responsibilities.
- Must be able to lift up to 50 pounds, walk throughout campus facilities, and perform occasional maintenance-related tasks.
Preferred:
- Previous CMMS experience (FIIX experience is a plus).
- Experience in a maintenance shop, facilities department, or similar environment.
- Administrative or clerical experience.
Work Environment
This position is primarily based in the maintenance shop and shared office area adjacent to the Director's office. While most duties are administrative and coordination-focused, occasional field assistance may be required. This role is best described as a hybrid of:

- Maintenance Technician
