Your Role And Purpose
As a Project Administrator – Planning, you’ll play a critical role in supporting the planning phase of national projects. Your work ensures accurate documentation, organized planning tools, and timely updates that enable project managers and stakeholders to execute confidently. We’re looking for someone who is detail-oriented, proactive, and skilled at managing multiple priorities in a fast-paced environment.
What Success Looks Like
Plan with Precision: Complete planning phases within established timelines and ensure all supporting documentation is accurate and complete.
- Drive Documentation Excellence: Collect, organize, and maintain product specification sheets, manufacturer installation guides, and other required materials for every planned project.
- Communicate with Impact: Collaborate effectively with internal teams and external partners to clarify requirements and resolve issues promptly.
- Enable Seamless Execution: Prepare visual aids, Gantt charts, and Smartsheet assets that support clear project timelines and deliverables.
- Planning Timeliness: Average planning phase ≤ 10 days.
- Documentation Compliance: ≥ 98% of planned projects include all required supporting documentation (spec sheets, installation guides, etc.).
- Data Accuracy: Maintain ≥ 98% accuracy in project documentation across all systems.
- Communication Responsiveness: Respond to internal/external inquiries within 24 hours.
- Communication & Problem-Solving: Demonstrates excellent and effective communication skills and applies strong problem-solving abilities to resolve challenges and drive successful project outcomes.
- System Updates: Complete all planning-related updates in ERP and Smartsheet within 24 hours of receiving new information.
- Strong organizational and analytical skills with attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in MS Office and compliance platforms (Smartsheet, ERP systems).
- Clear and concise communication skills—written and verbal.
- A proactive mindset with accountability for delivering measurable outcomes.
- High School Diploma, GED, or equivalent required. Associate degree preferred; equivalent experience considered.
- Experience in project planning or administration is strongly preferred.
- Knowledge of lighting/electrical or a related construction field is a plus.
