Primary Purpose:
Lockhart High School is seeking a detail-oriented and highly organized ARD Scheduler / Special Education Administrative Assistant to support the Special Education Department. This position ensures compliance with state and federal regulations by managing ARD calendars, coordinating with staff, supporting parents and adult students, and assisting with administrative documentation. The ideal candidate demonstrates strong communication, scheduling, and organizational skills, with the ability to manage last-minute changes, problem-solve quickly, and provide critical support to teachers, case managers, administrators, parents, and adult students.
Qualifications:
Education/Certification:
- High school diploma or GED.
- Bilingual Spanish/English fluency (oral and written) — preferred and strongly encouraged.
Special Knowledge/Skills:
- Strong organizational, time management, and communication skills.
- Demonstrated ability to maintain confidentiality and comply with legal requirements.
- Ability to communicate effectively and professionally with staff, parents, and adult students.
- Proficiency or familiarity with spreadsheets, Google Forms, Microsoft Excel, and student data/compliance management systems (e.g., eSped/Frontline, Skyward, or comparable platforms).
Experience:
- Experience in an educational setting, preferably special education.
- Knowledge of ARD/IEP processes, IDEA compliance, and state timelines.
- Advanced skills in digital calendaring, scheduling software, and data reporting tools.
Major Responsibilities and Duties:
- Coordinate, schedule, and manage ARD meetings in compliance with state and federal timelines.
- Maintain the ARD calendar; distribute meeting notices and reminders to teachers, administrators, service providers, parents, and adult students.
- Assist in preparing, organizing, and filing ARD paperwork and documentation according to compliance standards.
- Ensure all required staff, parents, and adult students (when applicable) are invited, present, and documented at ARD meetings.
- Support case managers and administrators with coverage coordination and scheduling conflicts.
- Provide responsive assistance to parents and adult students, including communication about meeting logistics, required documentation, and follow-up steps.
- Anticipate and resolve last-minute scheduling issues and provide responsive support during meetings.
- Track and communicate deadlines, ensuring compliance with IDEA, state law, and district procedures.
- Assist with special education compliance reports, data entry, and communication with staff, parents, and adult students.
- Provide general administrative support to the Special Education Department, including correspondence, phone calls, and record-keeping.
