Our partner client, Vyblee, is a fast-growing food-tech startup based in Los Angeles that's transforming how people order food and drinks in hotels, coworking spaces, canteens, and bars. As they continue to expand across LA, they're looking for an Operations & Partner Success Coordinator to join their team and play a key role in driving day-to-day operations and partner success.

About the Role

We're looking for a hands-on Operations & Partner Success Coordinator to own the post-sales commercial and operational engine of our hotel and coworking food program ("Canteen"). Once our BD team signs a new partner, you take the handoff and own everything from there: you're the primary point of contact for hotel GMs and WeWork front-desk teams, and the person who keeps the supply chain, pop-up activations, restaurant partners, and customer support running smoothly day to day.


This role consolidates several functions into one owner, with a Philippines-based remote team and an on-call tech partner supporting the more specialized pieces (KDS/tablet setup, hardware maintenance). You'll work closely with the Head of Operations and with the GM, Canteen on the partnership and account-management side of the role.


Must be willing to drive around LA area. West Hollywood, Torrance, Santa Monica, Redondo Beach, LAX Areas.


Key Responsibilities


Partner Relationship Management (Post-Sales)

  • Lead hotel and kitchen onboarding: GM meetings, onboarding materials, and launch-prep from signed deal to live site.
  • Maintain and grow ongoing hotel relationships/kitchen post-launch.
  • Conduct regular in-person visits to hotel/kitchen and canteen locations to check on quality, address issues on the ground, and strengthen partner relationships.
  • Build and maintain WeWork front-desk relationships to support coworking placements.

Supply Hub & Logistics

  • Run receiving, storage, inventory management, and dispatch for the supply hub (Amazon and Minuteman orders).
  • Maintain inventory levels and reorder points; keep dispatch to venues on schedule.
  • Access to secure storage space in the LA area is a plus rather than a requirement — Vyblee covers the cost either way, and we're open to whatever setup works best.
  • As volume grows, help scope and transition this function to a dedicated operations hire — this role owns it in the interim.

Field & Pop-Up Activation Support

  • Oversee pop-up mechanics: setup, staffing, restocking, and teardown for activations, coordinating with field support staff.
  • Manage Canteen pickups/drop-offs and on-site staff relationships at partner venues.
  • Ensure adequate field coverage across peak and standard activation days.

Vendor & Partner Coordination

  • Coordinate with the on-call tech partner for KDS/tablet setup, hardware maintenance, and restaurant kitchen setup.
  • Oversee new restaurant kitchen setup from delivery through go-live.
  • Manage the Amazon ordering process (ordering only; receiving sits with the supply hub).

Customer Support Coordination

  • Coordinate with the Philippines-based Customer Service team to ensure customers are well supported across Intercom, Uber Direct, and the Vyblee Dashboard.
  • Own the customer-support outcome — strong turnaround and quality on on-demand order issues. This is a light-touch coordination load (typically 1–5 issues per day at roughly 5–25 minutes each), and the CS team members carry other responsibilities alongside it.
  • Note: staffing and people-management of the CS team sit with the Head of Operations; this role ensures customers are supported, not the team's staffing or scheduling.
  • Coordinate with the remote team on restaurant staff training.

What Success Looks Like

  • New hotel and coworking partners are onboarded smoothly and launched on schedule.
  • Supply hub runs with no stockouts or missed dispatches; inventory discrepancies are caught early.
  • Pop-up activations are fully staffed and run smoothly across peak days.
  • Customers get strong, timely support on on-demand order issues.
  • Hotel and WeWork relationships remain strong and are proactively maintained, not just reactively managed.

What We're Looking For

  • 2–5 years of consistent experience in a similar account management, partnerships, or operations role — ideally spanning both relationship management and hands-on logistics.
  • Food and/or startup experience is a strong plus. A valid Food Handler certificate is highly regarded, or obtainable within two weeks of starting.
  • Comfortable owning relationships with senior stakeholders (hotel GMs) as well as day-to-day operational detail (inventory counts, dispatch schedules).
  • Based in central Los Angeles and has a car — this role requires frequent on-site venue visits and hands-on logistics across the LA area.
  • A startup mindset: you thrive on a fast pace, variety, and ambiguity, and you're energized by building and growing a role rather than inheriting a fixed one.
  • Strong organizational skills — this role juggles concurrent priorities across partnerships, logistics, customer support, and remote coordination.
  • Experience coordinating a remote and/or customer-service team is a plus.
  • Comfortable working with lightweight food-tech tools (KDS/tablets, ordering dashboards) — deep technical skill isn't required, since a tech partner covers hardware issues.

Engagement & Growth

This is a part-time employee position (W-2), paid hourly at $25–30 per hour, depending on experience.


This role is expected to move to full-time within the first 1–2 months. We're hiring with that intention — you'll start at around 20 hours a week, and hours build as volume does, with genuine scope to expand into a broader operations remit from there.


Hours and schedule. To start, four hours a day, five days a week. Your schedule is published a fortnight in advance so you always know your hours ahead of time, and no shift runs past eight hours. What we need is reliable coverage across the week — we're flexible on how that's shaped, so if a different pattern works better for you and for the business, we're happy to talk.


What Vyblee covers. We don't expect you to fund the job out of your own pocket. Vyblee reimburses mileage at the IRS standard rate and parking at actual cost, provides a phone stipend, and covers supply-hub storage. This is a field and remote role, so there's no daily commute to an office.

Onboarding

The outgoing team member in this role has prepared handover materials, including a contact list with warm introductions (hotel GMs, WeWork front-desk, on-site staff, restaurant managers, and supply vendors) and recorded walkthroughs covering the supply hub, KDS/tablet setup, hardware maintenance, restaurant kitchen setup, and hotel onboarding process.
