What are the responsibilities and job description for the Client Services Assistant position at Loaves & Fishes Food Pantry, Inc?
ESSENTIAL FUNCTIONS:
The Client Services Assistant (CSA) assists the Client Services Coordinator (CSC) with all aspects of client management and administration. The CSA will work collaboratively with the staff team, volunteers, committees, and the Board of Directors to ensure the smooth operation of the Pantry.
PRINCIPAL RESPONSIBILITIES:
- Organize and prepare delivery order forms and collaborate with the Volunteer Coordination team to ensure timely order fulfillment.
- Monitor voicemail and email regularly ensuring timely responses. Escalate complex or sensitive issues to the CSC.
- Enter, update and verify data in the client database. Produce reports as needed.
- Maintain a collection of resource materials for referrals and education, as well as informational pantry materials in multiple languages.
- Ensure staff and volunteers comply with Loaves & Fishes privacy policies.
- Provide coverage for the department in the absence of the CSC.
- Attend meetings as required.
Assist the CSC with:
- Ensuring effective and efficient client flow.
- New client intake process.
- Connecting clients with needed resources.
- Implementing safety protocols.
- Supervising, training, and providing support to client-facing volunteers while upholding high standards for respectful client interactions.
- Client outreach including residential visits/presentations.
- All other duties as assigned by the CSC.
QUALIFICATIONS:
- Bachelor’s Degree in social services, psychology or related field or equivalent experience.
- Direct client services experience in a social services setting required.
- Strong interpersonal skills with the ability to engage respectfully and effectively with diverse populations.
- Ability to maintain confidentiality and comply with Loaves & Fishes privacy policies.
- Ability to work independently while anticipating and prioritizing responsibilities, seeking guidance when needed, and demonstrating strong organizational, time management, and proactive written and verbal communication skills.
- Willingness to engage in ongoing professional development and training as needed to enhance skills.
- Proficient computer skills: email, file management, Google Suite, Zoom, Microsoft Office.
- Ability to speak Spanish, Portuguese or Haitian Creole in addition to English is a plus.
