Employment Classification: Regular, Hourly, Part-Time, Non-Exempt
Wage and Benefits: $18.00 - $19.00 per hour; 40 hours paid sick time per year
HOW YOU WILL IMPACT OUR MISSION
The Education Administration Assistant (Admin. Assistant) performs administrative duties, customer service, and logistical support for the Education & Guest Experience Department and the Living Coast organization. You will develop an expert understanding of the diverse array of school, public, guest, and community programs in order to facilitate all aspects of booking and registration, scheduling, inventory, budget tracking, and program reports. Your development and maintenance of organized systems allows the complex operations of the department to run smoothly in support of our mission.
WHAT YOU WILL DO
- When assigned, answer mainline and department voicemail and email, providing excellent customer service and specialized program details; retrieve mail, order supplies, and other errands
- Conduct routine correspondence with program participants, partner organizations, and outside vendors and suppliers via telephone, mail, and email
- Develop and maintain filing systems and records, including but not limited to program data and receipts, inventory and purchasing lists, personnel records, and department budgets
- Process registrations and maintain program databases for all education programs, including school field trips, school and community outreaches, day camps, scout programs, overnight programs, community hikes and cleanups, private animal encounters, member events, birthday parties, rentals, and other programs as they arise
- Process program payments; occasionally assist with gift shop register operations
- Prepare staff and volunteer paperwork and training materials, and take meeting minutes
- Assist managers in creating monthly and weekly staff schedules to meet program needs
- Assist with producing monthly and annual program reports in alignment with department goals
- Support special events, performing duties outside the typical scope
*Additional duties if classified as bilingual (English/Spanish):
- Communicate with constituents in Spanish as needed and provide translation of simple written materials (at least 10% of job duties requiring Spanish language use)
WHO YOU ARE
The successful candidate will have demonstrated proficiency in office administration and customer service, as well as an interest in environmental education and community engagement. Applicants must be 18 years of age.
Education, Experience, and Certifications
- High school diploma or equivalent
- 2 years of experience in office administration, with demonstrated proficiency in scheduling, database management, and budget tracking; experience in nonprofit and/or educational organizations preferred
- Current valid California Driver’s license in good standing, or ability to acquire within 12 months
- CPR/First Aid Certificate or ability to acquire within 6 months of hire (provided by the Living Coast)
Skills and Knowledge
- Proven ability to work cooperatively, enthusiastically, and promote a positive customer experience
- Demonstrated ability to set priorities, work independently, and be resourceful under pressure
- Detail-oriented and organized, with the ability to balance multiple programs and tasks simultaneously
- Excellent written and verbal communication skills
- Thorough knowledge of Microsoft Office Suite required; knowledge of Adobe Creative Suite, Canva, Outlook, Google, Altru by Blackbaud, Volgistics, or other management programs preferred
*For bilingual classification: Fluent in English and proficient in oral Spanish at Intermediate High level (pay differential contingent on ACTFL testing and certification, provided by the Living Coast)

WORKING ENVIRONMENT
This position is primarily indoors in a shared office environment, with occasional outdoor work.
- Required abilities: remaining stationary or traveling, speaking to guests, driving, typing, filing; occasional reaching and lifting up to 20 lbs.
- Noise level: usually moderate but can be loud
- Schedule: typically Monday – Friday, 8:00 AM – 1:00 PM, but may vary based on events, meetings, and other assignments
