Position Summary

The Entrata Specialist / Business Application Analyst serves as the functional administrator and business analyst for Entrata and related property management applications. This role partners with on-site and corporate teams (leasing, resident services, maintenance, accounting, and leadership) to optimize workflows, maintain data integrity, troubleshoot issues, deliver reporting, and support new property onboarding, configuration changes, and user training. Work Location: Hybrid as needed. Corporate office, onsite and travel as needed. 


Essential Functions

  • Entrata system administration: Configure properties, buildings/units, users/roles, permissions, workflows, templates, resident/prospect communications, and contact points; maintain standardized settings across the portfolio.
  • Marketing channels configuration: Maintain and audit marketing channels/lead sources data, pricing/fees and settings (ILS listings, internet lead sources, campaigns, tracking, contact points, and attribution) to support accurate lead routing, reporting, and ROI analysis.
  • Functional support & troubleshooting: Serve as first point of contact for Entrata questions and issues; diagnose root cause, document steps to reproduce, and coordinate resolution with Entrata Support and internal stakeholders.
  • Business analysis & process improvement: Map current-state processes, identify gaps/inefficiencies, recommend system-enabled solutions, and document requirements for enhancements.
  • Data integrity & governance: Monitor data quality (resident/lease data, charges, unit status, vendor and GL coding, etc.), create controls and audit routines, and promote accurate, timely entry by end users.
  • Reporting & analytics: Build and maintain reports and dashboards for leasing, operations, maintenance, and accounting; schedule recurring reporting; ensure consistent definitions and metrics.
  • Implementations & property onboarding: Support new community onboarding, conversions, and add-on module rollouts (e.g., resident portal/payments, inspections, budgeting, maintenance tools); and coordinate testing and readiness.
  • Integrations & downstream systems: Partner with Accounting/IT and third parties on integrations (banking, screening, deposit alternatives, document management, payment processors, access control, BI tools, etc.); validate data flows and support issue triage.
  • Training & knowledge management: Create job aids, SOPs, and training materials; deliver live and recorded training for new hires and existing teams; publish release notes and “what’s changing” communications.
  • Change management: Manage intake, prioritization, and communication for configuration changes; perform check ins with business users; plan cutovers to minimize operational disruption.
  • Security & compliance: Support least-privilege access, user lifecycle management, and confidentiality of resident and company information; follow company policies for data handling.
  • Vendor partnership: Maintain productive relationship with Entrata (support tickets, product updates, account management); track open issues and ensure follow-through.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities

  • Strong working knowledge of multifamily and/or commercial property management operations (leasing, renewals, maintenance, resident relations, accounting).
  • Demonstrated experience administering Entrata (or comparable PMS such as Yardi, RealPage, AppFolio) including configuration, security roles, templates, and reporting.
  • Ability to translate business needs into clear requirements, process maps, and configuration recommendations.
  • Advanced Excel skills (pivot tables, lookups); comfort working with large datasets.
  • Reporting aptitude; experience with BI/reporting tools a plus (e.g., Power BI, Tableau).
  • Excellent troubleshooting, documentation, and ticket management skills; disciplined follow-up and prioritization.
  • Strong communication and training skills; able to support both technical and non-technical audiences.
  • High attention to detail and commitment to data accuracy and confidentiality.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.

Requirements

Required Education and Experience

  • High School Diploma or GED required.
  • Bachelor’s degree in Business, Information Systems, Data Analytics, or a related field preferred; equivalent experience considered.
  • 2 years of experience in property management software administration, business application support, or business analysis (multifamily industry preferred).
  • Entrata experience strongly preferred (system admin, support, implementation, or power user).

Preferred Qualifications

  • Experience supporting accounting configurations (chart of accounts, GL mapping, payables/receivables, bank reconciliations) within a property management platform.
  • Basic SQL or database concepts; ability to validate data extracts and support reporting needs.
  • Experience with system integrations and vendor management; familiarity with SSO/user provisioning a plus.
  • Experience in implementations, conversions, and/or formal project management.
  • Relevant certifications a plus (Google Certification, or vendor training).

Physical Requirements and Work Environment

This position primarily works in an office environment and requires extended periods of time working at a computer, communicating by phone/virtual meetings, and collaborating with teams. Occasional travel to properties may be required for onboarding, training, or operational support. The employee may be required to visit property areas that include stairs and uneven walking surfaces.

Salary : $92,000 - $100,000
