Responsibilities
- Accountable for the administrative support of the Office Administrator, including facility maintenance and general Office Services operations of the office.
- Primary responsibilities include accountability for:
- Providing support to Attorney Practice Coordinators including assembling document notebooks and binders; printing, scanning and copying; arranging courier services; preparing outgoing FedEx and mail parcels; processing incoming mail/FedEx/deliveries; coordinating and scheduling vendors; general administrative duties and office maintenance.
- Provide project support as needed to include information tracking and/or maintaining logs.
- Providing filing support to secretaries including updating litigation files, both electronic and physical files, assembling and updating binders as requested by attorneys and/or Attorney Practice Coordinators.
- Responsible for maintaining café/kitchen supply stock and appearance.
- Responsible for maintaining office supply stock and placing supply orders.
- Responsible for overseeing the neatness and cleanliness of all common areas in the office, including the lobby/reception area, conference rooms and cafes.
- Accountable for keeping Office Administrator informed of problems and issues.
- May perform other duties as assigned.
- Minimum High School Diploma required
- Ability to sort and organize documents for copy/print/scanning jobs.
- Must have strong knowledge of MS Word, Excel and Outlook.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Interpersonal skills necessary in order to communicate by email and telephone to provide information in an appropriate business manner.
- Must be able to work independently, be proactive, complete assigned tasks, and perform duties with minimal supervision.
- Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and other essential duties.
- Ability to operate, maintain and stock supplies for standard office equipment, including laptops, printers, photocopiers
- Ability to retrieve and distribute files, written documents or office supplies weighing up to 12 pounds and ability to retrieve and replace objects from shelves of up to 8 feet high.
- Must be courteous, cooperative, and work collaboratively with professional staff and attorneys.
