Duties
- Manage day-to-day office operations, including reception duties, scheduling, and supply inventory management
- Oversee multi-line phone systems, ensuring prompt and courteous communication with clients, vendors, and team members
- Maintain accurate records through data entry, filing systems, and spreadsheet management using productivity software such as Microsoft Office and Google Workspace
- Coordinate calendar management for executives and team members to optimize productivity and meeting schedules
- Handle bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar accounting tools
- Provide exceptional customer service by assisting visitors at the front desk and supporting client communication efforts
- Support administrative functions such as proofreading documents, managing correspondence, and ensuring phone etiquette standards are upheld
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with QuickBooks or other bookkeeping software is highly desirable
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Strong computer literacy including data entry, file management, and technical proficiency with productivity software
- Bilingual abilities are a plus to support diverse client interactions and team communication
- Previous experience in medical or dental reception is advantageous but not required; strong customer support skills are essential
- Exceptional phone communication skills along with proper phone etiquette and front desk experience
