Duties
- Oversee daily office operations, ensuring an organized and efficient work environment
- Manage calendar scheduling for executives and team members, coordinating meetings and appointments
- Supervise administrative staff, including receptionists and clerical personnel, providing training and development opportunities
- Handle vendor management by negotiating contracts, processing invoices, and maintaining supplier relationships
- Coordinate event planning for company meetings, trainings, and special functions to promote team engagement
- Maintain accurate bookkeeping records using QuickBooks or similar accounting software
- Oversee human resources functions such as onboarding new employees, managing payroll processes, and ensuring compliance with employment policies
- Manage office supplies inventory, filing systems, and front desk operations including multi-line phone systems and phone etiquette
- Support medical office management tasks if applicable, including scheduling patient appointments and maintaining confidential records
- Implement budgeting strategies to optimize office expenses while maintaining high standards of service
Skills
- Proven experience in office management or administrative roles with supervisory responsibilities
- Strong event planning skills to organize meetings, trainings, and company events
- Proficiency with QuickBooks accounting software for bookkeeping and payroll processing
