The Administrative Assistant to the Superintendent works under direct supervision of the Superintendent and serves as the primary confidential administrative support and liaison for the Superintendent. This role requires an individual who possesses exceptional organizational skills, discretion in all areas, and the ability to manage complex, fast-moving district operations. This is a part-time (.5) position with flexible scheduling around district needs and priorities.
The purpose of this position is to provide high-level, confidential, and executive-level administrative assistance to the Superintendent. This position often serves as a dual role - providing support to both the Superintendent and the School Committee. The Administrative Assistant to the Superintendent acts as a primary liaison between the Central Office, district staff, parents, and the community.
Essential Job Functions:
Perform routine administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers and stakeholders.
Attend meetings and take notes, identifying items requiring follow-up.
Coordinate with the School Committee Confidential Secretary to ensure compliance with the Open Meetings Act for school committee meetings. Ensure that the Superintendent’s office is informed of the meeting topics and prepared for School Committee meetings. Attend meetings to support, or represent the office, as requested from time to time by the Superintendent.
Coordinate with the School Committee Confidential Secretary to ensure that the most current versions of school department policies are readily available to the central office and to all stakeholders.
Assist the Superintendent with RIDE-required mandates and deadlines.
Assist the Superintendent with Grants.
Manage Home Instruction approvals and related correspondence.
Manage the Student Activities Account and provide detailed reconciliations to the Business Manager when requested, and to support the annual audit.
Manage the Child Nutrition Program administration, accounts, and related correspondence.
Assist with the non-resident student program, including collection of tuition.
Act as the Public Records Officer and ensure compliance with APRA.
Any other tasks assigned by the Superintendent.
Ensure compliance with School Committee Policies and RIGL.
