Essential Responsibilities
Administrative Support
- Maintain and organize student files, ensuring all required documentation is complete and current.
- Assist with enrollment paperwork and student record management.
- Support the Director with administrative projects, scheduling, and communication.
- Order and organize office and classroom supplies as directed.
- Serve as the primary receptionist for the center.
- Answer and direct incoming phone calls in a professional and friendly manner.
- Welcome families and visitors while providing excellent customer service.
- Screen and manage visitor entry in accordance with center security and safety procedures.
- Respond to parent questions and communicate information as directed by the Director.
- Monitor and respond to walkie-talkie communications from teachers and staff throughout the day.
- Assist teachers by providing materials, supplies, or support as needed.
- Step into classrooms to provide coverage when necessary.
- Assist with special events, family activities, and center programs.
- Prepare and distribute daily snacks.
- Serve lunches to classrooms and assist with meal service.
- Maintain cleanliness and organization of food preparation and serving areas.
- Help maintain a safe, secure, and welcoming environment for children, families, staff, and visitors.
- Follow all DHS licensing regulations and center policies.
- Assist with emergency procedures, drills, and safety protocols as directed.
- Perform other duties as assigned to support the overall mission and operation of the Early Learning Center.
- High school diploma required; associate degree or related experience preferred.
- Previous administrative, customer service, childcare, or school office experience preferred.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and professionalism.
- Proficiency with email, Google Workspace, and basic office software.
- Ability to work collaboratively with children, families, and staff.
- Warm, welcoming, and service-oriented.
- Strong attention to detail and follow-through.
- Flexible and willing to assist wherever needed.
- Positive team player with a heart for children and families.
