Role Description
Lithko Contracting is seeking an Executive Assistant to provide high-level administrative support to one executive, acting as a key partner in managing day-to-day priorities, internal communications, and logistical coordination. This role is responsible for calendar and email management, meeting planning and preparation, document creation, travel arrangements, and direct communication with coworkers and stakeholders. The Executive Assistant operates with a high degree of discretion, accuracy, and responsiveness while anticipating executive needs and ensuring professional execution of all administrative functions.
Key Responsibilities
- Calendar, Email & Communication Management: Manage executive’s calendar and email by reviewing, prioritizing, and flagging items for action. Respond to invitations, coordinate availability, and organize communication using a structured filing and follow-up system.
- Meeting and Event Planning: Schedule, organize, and prepare materials for internal, external, and off-site meetings. Build meeting agendas, create and distribute materials, manage logistics, and track any required follow-ups.
- Document Management: Draft, edit, and format professional documents and presentations.
- Travel Coordination: Coordinate travel arrangements including flights, lodging, rental cars, and be able to facilitate any changes due to schedule, weather, or industry fluctuations.
- Administrative Execution and Office Support: Prepare expense reports and handle administrative processes related to business matters. Reconcile monthly corporate credit card charges. Provide support to other office personnel as needed and assist in maintaining traditional and digital filing systems.
- Executive Liaison and Support: Act as the first point of contact for assigned executive(s), handling calls, messages, and email correspondence with professionalism and discretion.
- Marketing: Assist with providing social media content that highlights the Nashville office.
- A strong work ethic and is willing and able to work outside of normal business hours when the situation arises.
- Great instincts in anticipating the needs of the executive to ensure productive workflow.
- Highly organized and detail-oriented, with excellent time management and prioritization skills.
- Five days per week in person at our LaVergne, TN office.
- Advanced proficiency in Microsoft Office, especially Outlook, Excel, and PowerPoint.
- Prioritizes and plans work activities, uses time efficiently, and develops realistic action plans. Can create and implement organized processes.
- Identify and resolve issues proactively and independently.
- Manage and contribute to special projects as needed.
- 5-10 years of experience supporting executives in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to handle confidential and sensitive information with discretion, integrity, and tact.
- Comfortable interacting with individuals at all levels of the organization.
- Construction industry experience and English/Spanish bilingual a plus.
