Position Overview
The Program Site Coordinator is responsible for supporting program participants by addressing their needs, assisting them in reaching personal and educational goals, and ensuring smooth daily operations at the program location. This role involves engaging, motivating, and supporting participants, enrolling new clients, and organizing meetings and program activities.
The coordinator oversees on-site service delivery, including coordination of services and outreach with community partners. This position also serves as a key connection between students entering the workforce and local employers, with a focus on strengthening workplace skills and promoting long-term employment success. The ideal candidate demonstrates sound judgment, strong communication skills, the ability to multitask, familiarity with community resources, effective follow-up, and strict adherence to confidentiality standards.
Key Responsibilities and Outcomes
- Support day-to-day program operations to ensure adult learners receive high-quality educational and supportive services; provides on-site supports and coordination of services.
- Develops and implements program activities in alignment with the organization’s mission and objectives.
- Evaluates participant needs and provides individualized support and case coordination to reduce barriers to program participation; refers participants to appropriate community resources.
- Collaborates with partner agencies and service providers to support coordinated care and information sharing.
- Maintains accurate and complete participant records, including case notes, referrals, outcomes, attendance hours, and required documentation in compliance with NYS Department of Education standards.
- Conducts academic and skills assessments, including TABE, BEST Literacy, and BEST Plus pre- and post-testing.
- Acts as a career support coach for participants seeking employment or newly employed, maintaining contact with both employees and employers to encourage job retention and skills development.
- Inputs and manages all required data within the ASISTS data management system.
- Performs follow-up activities and communicates clearly with participants, partner agencies, staff, and employers.
- Builds and maintains relationships with law enforcement, schools, and health and human service organizations to increase awareness and access to services.
- Identifies opportunities for program enhancement and submits recommendations for improvement.
- Actively networks with community organizations to stay current on available services and resources.
- Ensures all confidential information is handled appropriately and securely.
- Represents the organization positively by demonstrating professionalism, teamwork, and collaboration with LWNY staff and partner agencies.
- Contributes to agency-wide initiatives by assisting with other programs and events as needed.
- Performs additional duties as assigned.
Experience
- Proven ability to work effectively with students, faculty, and staff
- Strong organizational skills with attention to detail in managing multiple tasks simultaneously
- Excellent interpersonal and communication skills to foster positive relationships within the campus community
- Experience coordinating events, managing schedules, or overseeing educational programs is a plus
