Position Summary
Literacy Mid-South seeks a reliable, organized, and proactive Office Manager to oversee and support the daily administrative and operational functions of the organization. This position plays a critical role in maintaining efficient office operations, supporting executive leadership priorities, coordinating logistics, and fostering a professional and welcoming environment for staff, volunteers, partners, and community members.
This is a part-time, primarily in-office position suited for a self-directed professional who thrives in a mission-driven environment and demonstrates strong organizational and communication skills.
Key Responsibilities
Office Operations & Administrative Support
- Monitor and respond to website inquiries and general organizational email requests.
- Manage incoming mail, packages, and official correspondence.
- Maintain organized digital and physical filing systems in compliance with organizational standards.
- Ensure office space is clean, organized, and fully operational.
Scheduling & Coordination
- Manage and maintain the organization’s master calendar.
- Coordinate scheduling for meetings, leadership activities, and internal gatherings.
- Assist with planning and logistics for staff meetings and small organizational events.
- Support alignment of administrative tasks with executive priorities.
Vendor & Office Management
- Order, track, and maintain office supplies and materials.
- Coordinate with vendors and service providers as needed.
- Identify and implement process improvements to increase efficiency.
Inventory & Systems Management
- Develop and maintain tracking systems for office and program materials.
- Monitor inventory levels and ensure adequate stock of supplies.
Leadership & Operational Support
- Provide administrative and operational support aligned with CEO priorities.
- Assist with special projects and cross-functional initiatives as assigned.
- Support program logistics, including materials preparation and coordination.
Volunteer & Communications Support
- Assist with volunteer coordination and record tracking.
- Support preparation for volunteer trainings and engagement activities.
- Assist in scheduling and organizing social media content.
Desired Qualifications
- Demonstrated ability to manage multiple responsibilities independently.
- Experience supporting executive-level leadership.
- Experience working in nonprofit, education, or community-based organizations preferred.
- Strong organizational systems development experience.
Education
- Associate’s degree or equivalent professional experience required; Bachelor’s degree preferred.
- Relevant certifications in office administration or nonprofit management are a plus.
Experience
- Minimum of 2–3 years of administrative, office management, or operations support experience.
- Experience in a nonprofit or mission-driven organization preferred.
- Experience coordinating schedules, events, or volunteers is desirable.

Schedule & Location
- Schedule: 20 hours per week
- In-Office Schedule:
- Monday & Wednesday, 9 AM – 4 PM
- One additional in-office day per week based on organizational needs
- Work Location: Main Office
- Work Environment: Hybrid role with primarily in-office work
Compensation
- Hourly Rate: $25.00 per hour
- Annual Rate: $26,000 (based on 20 hours per week)
