The Site Supervisor is an hourly, first-level supervisory position responsible for overseeing the day-to-day operations of assigned residential and/or community-based programs serving Individuals with intellectual and developmental disabilities (IDD) under Indiana Medicaid Waiver programs. This role ensures services are delivered in accordance with Individualized Support Plans (ISPs), Behavior Support Plans (BSPs), wellness coordination plans, and regulatory requirements.
The Site Supervisor serves as the primary point of contact for Direct Support Professionals (DSPs), coordinating staffing and coverage, supporting compliance and documentation accuracy, and promoting continuity of care. This role ensures staff support, regulatory compliance, and high-quality service delivery while fostering the health, safety, and person-centered outcomes of the individuals served, in alignment with Lirio's Mission and Values.

Essential Functions & Responsibilities

  • Serve as the primary point of contact for Direct Support Professionals (DSPs) regarding scheduling, call-offs, shift coverage, and immediate program concerns.
  • Coordinate and maintain staff schedules to ensure compliance with Indiana Medicaid Waiver staffing requirements, authorized service hours, and continuity of services, including evenings, weekends, and holidays as needed.
  • Manage staff schedules, time-off requests, and coverage plans in accordance with company policy and waiver service authorizations.
  • Provide coaching, guidance, and performance feedback to DSPs regarding service delivery, documentation, professional conduct, and person-centered practices.
  • Support new staff onboarding, orientation follow-up, required training completion, and ongoing competency development in accordance with agency policies and Bureau of Disabilities Services (BDS) standards.
  • Participate in a rotating regional weekend on-call schedule.

Site Supervisory Responsibilities

  • Oversee the day-to-day support and supervision of Individuals served to ensure services align with their ISPs, BSPs, Wellness Plans, and person-centered outcomes, including individual goal implementation.
  • Ensure adherence to individual rights, dignity, and choice.
  • Ensure person-centered practices are implemented and individual rights are always respected.
  • Oversee and maintain all person served monthly finances, including cash on hand, TruLink cards, EBT cards, and laundry quarters. Ensure all documentation and receipts are submitted according to agency policy.
  • Ensure compliance with all individual medical needs and appointments, including the availability of prescribed medications.

Compliance, Documentation, & Billing Support

  • Serve as first-level reviewer for documentation related to compliance and billing, including timekeeping, service notes, EVV compliance, eMAR documentation accuracy, and required program records.
  • Ensure documentation supports services billed under Indiana Medicaid Waiver programs and meets BDS, FSSA, and audit standards.
  • Identify documentation errors, omissions, or inconsistencies and follow up with staff for correction in a timely manner.
  • Assist with preparation for internal reviews, external audits, licensing visits, and case manager monitoring.

Communication & Reporting

  • Communicate program needs, staffing concerns, incidents, and trends to the Program Manager.
  • Ensure incidents, unusual events, and health and safety concerns are documented and reported according to agency policy and state requirements.
  • Participate in team meetings, training, and quality improvement activities as scheduled.
  • Ensure compliance with mandatory reporting requirements for allegations of abuse, neglect, and exploitation (ANE).
  • Maintain effective and consistent communication with all members of Lirio management.

Required Education & Experience

  • High school diploma or GED required.
  • Minimum 1–3 years of experience providing services to individuals with intellectual and developmental disabilities.
  • Knowledge of Indiana Medicaid Waiver services, ISPs, BSPs, HSPs, and BDS/FSSA regulations.
  • Ability to manage schedules and prioritize tasks.
  • Ability to respond to urgent staffing and program needs in a fast-paced environment.

Preferred Qualifications & Experience

  • Prior experience as a Lead DSP, Coordinator, or Supervisor.
  • Experience with electronic health records, scheduling systems, and waiver billing documentation.
  • Familiarity with Indiana licensing, certification, and audit processes.
