We are seeking a dynamic and highly organized Administrative Coordinator to join our team! Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
  • Handle multi-line phone systems, answer inquiries promptly, and route calls efficiently to ensure excellent customer service.
  • Maintain organized filing systems, perform data entry, and oversee document proofreading to uphold accuracy and professionalism.
  • Coordinate calendar management, schedule appointments, meetings, and events using tools like Google Workspace and Microsoft Office.
  • Support office management tasks such as inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar software.
  • Provide customer support through effective communication, addressing inquiries via phone or email with a friendly and helpful attitude.
  • Assist with clerical duties including typing correspondence, managing data entry tasks, and ensuring timely completion of administrative projects.

Qualifications

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Familiarity with QuickBooks for bookkeeping and basic office accounting tasks.
  • Excellent phone etiquette with experience managing multi-line phone systems.
  • Bilingual abilities are a plus to serve diverse client needs effectively.
  • Previous experience as a receptionist or personal assistant is highly desirable.
  • Strong computer literacy, typing skills, and attention to detail for proofreading and data entry tasks.
  • Ability to multitask efficiently while demonstrating excellent time management skills in a fast-paced environment.
