ABOUT THE ROLE
We are seeking a professional, organized, and customer-focused Receptionist / Front Desk Coordinator. This role is ideal for someone who thrives in a fast-paced, luxury environment and understands the importance of first impressions, sales support, and exceptional customer service.
REQUIREMENTS
· Minimum 1 year of experience as a Receptionist or Front Desk Coordinator
· Med Spa, Medical Office, Spa, Aesthetics, or Beauty industry experience preferred
· Excellent verbal and written communication skills in English
· Spanish language skills are a strong plus
· Professional appearance, demeanor, and positive attitude
· Strong customer service and sales-oriented mindset
· Ability to multitask and work efficiently in a fast-paced environment
· Strong organizational and time-management skills
· High attention to detail and confidentiality (HIPAA awareness preferred)
· Reliable, punctual, and team-oriented
· Comfortable working with memberships, packages, and sales goals
· Ability to work weekends and evenings if required
RESPONSIBILITIES
· Provide a luxury-level welcome and first impression for all clients
· Manage appointment scheduling, confirmations, cancellations, and rescheduling
· Answer phone calls, text messages, emails, and online inquiries professionally
· Perform client check-in and check-out, including payment processing
· Sell retail products, memberships, and service packages
· Educate clients about services, promotions, and ongoing offers
· Maintain front desk organization, cleanliness, and presentation
· Coordinate daily schedules with providers and management
· Ensure smooth client flow and minimize wait times
· Handle client questions and concerns with professionalism and care
· Support daily operations and administrative tasks as needed
SKILLS & COMPETENCIES
· Strong communication and interpersonal skills
· Sales, upselling, and relationship-building abilities
· Experience with CRM and scheduling software (Boulevard, Zenoti, Vagaro, Aesthetic Record preferred)
· Basic computer proficiency (email, scheduling systems, POS , Microsoft Office, Google Workspace)
· Ability to manage high client volume with professionalism
· Strong problem-solving and multitasking skills
· Team-oriented mindset with a proactive attitude
