About the Role
This is an accounting position with a heavy focus on Accounts Receivable and Accounts Payable, along with reconciliations and general accounting support.
You will help support the finance team by keeping financial operations organized, accurate, and up to date. This role is ideal for someone early in their accounting career who wants to grow while taking real ownership of recurring processes.
Key Responsibilities
Accounts Receivable
Generate and send customer invoices daily (including AIA/progress billing where applicable)
Track aging reports and actively follow up on outstanding balances
Perform B2B collections (email, phone, and system reminders)
Maintain accurate customer account data, payment terms, and notes
Reconcile customer payments and investigate discrepancies
Apply payments accurately in the accounting system
Track retainage and contract billing requirements
Assist with cleanup of AR balances, unapplied cash, and aging issues
Accounts Payable
Review vendor invoices for accuracy and approvals
Code and enter bills into the accounting system
Track vendor aging reports and assist with weekly pay runs
Maintain vendor files and W9 documentation
Assist with credit card reconciliation and expense tracking
Assist with purchase order reconciliation and job cost alignment
Assist with cleanup of AP balances and vendor discrepancies
Reconciliations & Accounting Support
Perform AR and AP reconciliations
Assist with bank and credit card reconciliations
Identify and resolve discrepancies across accounts
Maintain organized and accurate supporting documentation
Month-End Close Support
Assist with month-end close tasks, including:
Accruals
Reconciliations
Recurring journal entries
Support cleanup and accuracy of financial data
Assist in maintaining accurate divisional financials
General & Process Improvement
Maintain organized digital financial records and documentation
Help improve accounting workflows and internal controls
Support management with reporting, data pulls, and ad hoc projects
Participate in financial meetings and offer process improvement ideas
What We’re Looking For
1–3 years of experience in accounting, AR/AP, administrative finance, or similar role
Basic understanding of accounting principles
Strong Excel or Google Sheets skills
Comfortable communicating with customers regarding outstanding invoices
Highly organized with strong attention to detail
Dependable, self-motivated, and able to prioritize
Positive attitude and willingness to grow with the company
Preferred Qualifications
Experience with AIA / progress billing
Experience in construction, landscaping, or service-based industries
Experience with job costing or project-based accounting
Experience performing account reconciliations and cleanup work
Experience with accounting systems such as:
QuickBooks Online (QBO)
Sage Intacct
