We are seeking a professional and customer-focused Receptionist / Switchboard Operator to support the day-to-day administrative operations of a state government department in Boston, MA.
This position will be responsible for managing the main switchboard, greeting visitors, coordinating meeting schedules, maintaining contact directories, and providing general clerical support. The ideal candidate will have excellent communication skills, a professional demeanor, and a proactive, helpful approach.
Key Responsibilities- Answer incoming calls to the department's main switchboard promptly and professionally.
- Operate a multi-line telephone system to screen, transfer, and direct high-volume calls to the appropriate personnel.
- Greet staff, visitors, and guests in a friendly and professional manner.
- Provide a high level of customer service to callers, employees, and visitors.
- Maintain current knowledge of agencies and departments within the building to accurately direct inquiries.
- Stay informed about daily DCF meetings and conference room reservations.
- Create, maintain, and update a centralized calendar for agency meetings and events.
- Maintain and regularly update internal telephone directories and staff contact lists.
- Replace copier toner cartridges and assist with basic office equipment troubleshooting.
- Provide general clerical and administrative support to other departments as needed.
- Keep the reception area clean, organized, welcoming, and professional.
- Handle inquiries and routine administrative requests efficiently and courteously.
- Demonstrate a proactive, can-do attitude and assist with other office needs as assigned.
- High school diploma or equivalent required.
- At least 1 year of experience operating a multi-line telephone switchboard system.
- Previous administrative or clerical experience required.
- Strong customer service and interpersonal communication skills.
- Excellent verbal communication and professional phone etiquette.
- Ability to manage multiple tasks in a busy office environment.
- Strong organizational skills and attention to detail.
- Friendly, approachable, and service-oriented personality.
