Linfield University is seeking an Academic and Administrative Manager for the School of Nursing to provide high-level administrative and operational support to the Dean and the School of Nursing. This role coordinates academic operations, manages administrative processes, supports faculty and committees, and ensures the efficient functioning of the School of Nursing.
Job Summary
The Academic and Administrative Manager provides a comprehensive knowledge of the School of Nursing (SON) and its programs, personnel, policies, and procedures. The Academic and Administrative Manager provides the highest level of quality and efficiency in organizing and orchestrating the flow of activities, calendars, correspondence, meetings, budgets, internal relations, and research in support of the School of Nursing.
Academic and Administrative Manager for the School of Nursing
- Schedule meetings and appointments and maintain Outlook calendars. Prepare agendas and packets, attend meetings, and take notes/minutes as needed.
- Create and/or edit documents, spreadsheets, and reports. Proofread documents and correct errors, ensuring accuracy.
- Manage correspondence for the School of Nursing and maintain archives.
- Support School of Nursing faculty committees, departments, and reviews as directed by the Dean.
- Organize and oversee meetings for School of Nursing leadership groups including scheduling, reservations, and catering. Track responses and ensure records of meetings are kept.
- Make travel arrangements for the School of Nursing and for guests, reviewers, students, or faculty for University-sponsored travel.
- Act as the face of the School of Nursing by providing a welcoming environment and responding to inquiries with professionalism.
- Coordinate and manage databases, handbooks, policies, and procedures to ensure accuracy and compliance.
- Liaise with other University departments to ensure collaboration and successful interdisciplinary projects.
- Work closely with Administrative Specialists in the College of Arts and Sciences and the School of Business to ensure consistency across the University.
- Maintain confidentiality including conversations, email, and privileged documents and adhere to FERPA requirements.
- Manage and prioritize duties in consultation with the Dean.
College/School Operations
- Oversee the functional operations and needs of the School of Nursing office.
- Support accounts payable functions and monitor expenditures.
- Monitor student worker job descriptions, searches, hiring, and evaluations.
- Create and maintain confidential faculty and RN staff materials including hiring documents, contracts, licensure verification, and promotion and tenure materials.
- Administer grants, special funding, start-up funding, and reporting ensuring compliance with University policies.
- Assist with academic program development support as needed.
- Provide curricular support including curriculum development, course load management, course planning, and catalog maintenance.
- Lead faculty search committee recruitment processes and coordinate interview logistics.
- Support coordination of School of Nursing and Portland campus events.
- Other projects as assigned.
Qualifications
- Bachelor’s degree and two to three years of office or project management experience or equivalent combination of education and experience.
- Excellent written and verbal communication, problem-solving, time management, and attention to detail.
- Demonstrated ability to manage confidential information.
- Proficiency in Microsoft Office including Word, Excel, PowerPoint, and web-based applications.
- Experience working with databases, data reporting, and queries.
- Ability to meet deadlines and prioritize multiple tasks while working independently.
- Ability to communicate effectively with a broad spectrum of people.
- Ability to manage multiple complex projects with firm timelines.
- Ability to adapt to changing processes and procedures.

Physical Requirements
Work is performed in an office environment. Must be able to perform essential job functions with or without reasonable accommodations. Constant talking, seeing, hearing, sitting, and standing. Frequent walking, bending, and stooping. Daily climbing stairs, exposure to outdoor weather, and lifting, pushing, or pulling up to 25 pounds.
