This is a high-visibility, process-driven, detail-focused role supporting proposal development and submission—not a finance or data analysis position. The Proposal Coordinator will proactively track, research, and summarize government-issued Requests for Proposals (RFPs) and support the CMS team and firm leadership in developing high-quality, well-organized proposals.
Work produced in this role is regularly reviewed by senior attorneys and firm leadership. Accuracy, organization, and timeliness are critical. Candidates who take pride in producing precise, polished work under deadlines will excel in this role.
This role involves managing repeatable processes within established workflows and is best suited for individuals who are comfortable with structured, detail-oriented work. Success in this role requires a high level of ownership, attention to detail, and consistency in execution.
This position is intentionally designed as an entry point into proposal writing. Over time, high-performing candidates will have the opportunity to take on increasing writing responsibilities, collaborate on proposal development, and ultimately grow into a Proposal Writer role.

Roles and Responsibilities
The Proposal Coordinator works independently to monitor, track, research, and summarize RFPs. This role collaborates closely with Proposal Writers and plays a key role in the firm’s business development efforts.
Key responsibilities include:
- Researching and identifying RFP opportunities aligned with the firm’s services and priorities
- Providing detailed, clear, and concise RFP summaries to firm attorneys for decision-making
- Serving as the primary liaison between the firm and prospective government clients—sharing addendums, Q&A details, and other materials as they are released by prospective clients
- Managing print production and quality control for proposal submissions
- Maintaining a database of historical RFPs, Linebarger proposals, and supporting documentation
- Managing RFP vendor platforms (GovWin, BidNet, etc.), including subscriptions and usage tracking
- Preparing and distributing monthly proposal activity reports to firm leadership
- Reviewing and editing draft proposals for accuracy, consistency, and clarity
Required Experience
- 2-5 years of experience in administrative, coordination, research, procurement, writing, or similar roles
- Outstanding organizational skills and attention to detail
- Highly proficient in the Microsoft Suite (Word, Excel, PowerPoint, Outlook, Teams) and Adobe Acrobat
- Demonstrated ability to manage deadlines and produce accurate work in a detail-intensive environment
Preferred Qualifications
- Experience with government procurement, RFP processes, or proposal support strongly preferred
- Experience in legal services, government contracting, or other regulated/procurement-driven environments
- Familiarity with RFP databases, such as GovWatch, GovWin, BidNet, etc.
- Strong writing and editing skills
- Strong professional communication skills, especially in email correspondence
- Bachelor’s degree in Communications, Marketing, or a related field
