The Lindsey Wilson University Business Office is seeking a detail-oriented and service-minded individual for the full-time position of Business Office Specialist. This position is a front-line, customer service position providing direct service to students, parents, faculty, and staff.
Duties and Responsibilities:
Core Cashiering (50%)
- Serve as the primary contact for all walk-in, phone, and written correspondence.
- Process cash, check, and credit card payments for student tuition and fees.
- Process staff and faculty payments for university services and events.
- Balance cash drawer daily, and prepare accurate bank deposits.
- Manage petty cash fund, and process change orders for campus departments.
- Issue official receipts for all transactions and run daily transaction reports.
Student Account Support (15%)
- Answer student and parent questions regarding account balances, due dates, and billing inquiries.
- Assist residential students in person and hybrid students by phone and email.
- Assist with student refunds and overpayment reimbursements.
- Maintain strict confidentiality of all student records in compliance with FERPA.
Cross-Training & Team Backup (10%)
- Cross-trains with other Business Office team members (Student Accounts, Accounts Payable, etc.) to ensure seamless operations and provides additional clerical support as needed.
Collections Support (10%)
- Participate in the collections process, including submitting delinquent accounts to a third-party collections agency and assisting with updating account status.
Campus Support (5%)
- Serve as the Business Office point of contact for the Cafeteria, Health and Wellness Center, Bookstore, and The Pines Golf Course, processing deposits, change orders, membership fees, and all related financial transactions.
Payment Plan Support (5%)
- Set up payment plans in Transact, assist students with enrollment, accept manual installments, and update account records accordingly.
Other Duties (5%)
- Provide other clerical services and support as assigned by the Controller.
- Other duties as assigned.
A high school diploma or equivalent is required. An Associate’s or Bachelor’s degree in Accounting, Business, or a related field is preferred. Customer service experience and strong math and numerical accuracy skills are required.
A high level of attention to detail and a near-zero error rate in both cash handling and data entry are essential. The candidate must possess strong organizational, communication, and interpersonal skills, the ability to work independently and as part of a team, and the willingness to cross-train with other Business Office staff. Integrity and confidentiality are paramount, as the role involves handling cash and student records in full compliance with FERPA requirements. Proficiency in Microsoft Office (Word and Excel), email, and basic office technology is required; familiarity with Banner and Transact is a plus.
