Linda Hall Library, one of the world’s foremost independent research libraries devoted to science, engineering, and technology, is seeking a CRM and Development Specialist to support its Advancement team. 


The CRM and Development Specialist will serve as the primary administrator of the Salesforce CRM for the Linda Hall Library’s Advancement Department, ensuring optimal system performance through routine updates, maintenance, data formatting, imports, and third-party integration upkeep.  


In addition to CRM administration, this role provides comprehensive administrative and operational support to the Advancement team. Responsibilities include coordinating departmental projects, including events and marketing and communications projects, and preparing data-driven reports to inform strategic decisions and monitor department performance. 

 

KEY ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS 

  • Salesforce CRM Administration: Serve as the superuser for Salesforce CRM, monitoring related applications and performing routine maintenance to ensure optimal platform performance. Act as a liaison with our Salesforce contractor to manage large projects. Handle daily CRM usage, including data entry, donor record upkeep, data import/export, report creation, and list pulls.


  • Reporting and Analysis: Prepare reports to support the grants team and overall departmental performance, providing insights and data-driven recommendations.


  • Standard Operating Procedures (SOPs): Create and update department SOPs, making recommendations on best practices for the Advancement team to enhance reporting and functionality.


  • Prospect Research: Administer the Donor Search platform and conduct in-depth research for the Advancement team on grant opportunities, new corporate relationships, and providing research briefs for individual donor prospects.


  • Event Project Coordination: Serve as the project coordinator for all Advancement-hosted events, including attending and/or staffing Advancement team or other Library functions as needed.


  • Marketing and Communication Support: Collaborate with the Marketing and Communications and the Design departments to develop and contribute content to deliverables such as invitations, emails, newsletters, and donor reports. Keeps project approvals on track, coordinating with the Marketing and Communications team as needed.


  • Other Duties: Perform other duties as assigned in support of the Library’s mission and goals.

None.  

 

EDUCATION AND EXPERIENCE 

Required 

  • Bachelor's degree in relevant field. 
  • A minimum of 2-3 years of experience in CRM administration, preferably with Salesforce.
  • Proficiency in data management, data analysis, and CRM software. Experience with third-party integrations and data imports/exports is essential.
  • Advanced proficiency in Microsoft Office applications, with a high level of expertise in Excel for data analysis, reporting, and complex spreadsheet management.
  • Demonstrated experience in project management, particularly in organizing and managing events.
  • Background in fundraising, donor relations, or non-profit organizations.

 

Desirable 

  • Salesforce Administrator, Salesforce Advanced Administrator, or other relevant Salesforce certifications.
  • Experience with additional CRM platforms, marketing automation tools, and data visualization software.

  • Adaptability: Exhibits the capacity to modify and adjust work methods in response to evolving circumstances or shifting demands. Remains open-minded, embraces change, and proactively seeks innovative solutions to new challenges. 
  • Discretion: Demonstrates the ability to handle sensitive situations or privileged information with tact and confidentiality. Exercises sound judgment in safeguarding sensitive data, maintaining privacy, and making informed decisions while respecting boundaries and protocols.
  • Prioritization: Effectively ranks and organizes tasks and work based on importance, urgency, and impact. Ensures optimal use of time and resources and is responsive to shifting needs.

 

TRAVEL REQUIREMENTS  

Rarely (0-10%):  

  • Attending occasional conferences or workshops. 

 

WORK CONDITIONS 

This position is based in a traditional office environment with the flexibility of up to one remote workday a week.  

Monday – Friday, 40-hour work week between the hours of 6:00 am – 7 pm. The ability to occasionally work evening or weekend events is required.  


Salary: Starting at $52,115.00 Annually
