SUMMARY:

The Production Clerk – Materials is responsible for ensuring accurate, timely, and efficient material flow for all wood, glass, metal, and hardware components required in the manufacturing of premium wood windows and patio doors. This role maintains inventory accuracy, coordinates procurement activities, supports production scheduling, and ensures uninterrupted material availability across multiple product categories. The position requires strong analytical capability, technical accuracy, and the ability to collaborate effectively across departments in a fast-paced fenestration manufacturing environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Material Ordering & Coordination

  • Create, review, and process purchase orders for wood, glass, metal, and hardware materials.
  • Monitor inventory levels, evaluate usage trends, and initiate replenishment orders to prevent shortages.
  • Review supplier acknowledgments for accuracy, including cost, quantity, and specification compliance.
  • Coordinate delivery schedules with external vendors and communicates discrepancies or quality concerns.

Inventory Management & Material Flow

  • Receive, validate, and document incoming materials, ensuring alignment with purchase orders and production specifications.
  • Enter and reconcile material transfers between locations and production departments.
  • Perform routine audits to verify inventory accuracy and resolve variances.
  • Submit requests for replacements, corrections, or supplemental materials to support production.

Production Support

  • Ensure all wood, glass, metal, and hardware components are available at the correct location and in the proper sequence to meet production schedules.
  • Review production ranges, change reports, and material requirements, communicating necessary adjustments to Scheduling and Specialty Departments.
  • Run and distribute system-generated labels, reports, and documentation supporting production accuracy.

Systems & Data Accuracy

  • Collaborate with IT, Supervisors, and production employees to troubleshoot scanning errors, transaction issues, and system discrepancies.
  • Ensure all transactions, counts, and material movements are correctly captured in ERP systems.
  • Maintain precise documentation to support costing, bill of materials integrity, and material traceability.

Workplace Excellence

  • Maintain a clean, organized, and safe work environment across all material storage areas.
  • Follow established company procedures, safety requirements, and quality control practices.
  • Perform additional tasks, projects, and responsibilities as assigned by the Supply Chain Manager.

QUALIFICATIONS:

1. Strong written and verbal communication skills with internal and external partners.

2. Highly organized and detail-oriented with strong analytical ability.

3. Proficient computer skills, including Microsoft Windows and Excel; ERP/MRP experience preferred.

4. Ability to multitask, prioritize, and manage time efficiently in a dynamic environment.

5. Ability to read and understand product drawings and material specifications (desired).

EDUCATION AND EXPERIENCE:

1. High school diploma or equivalent required.

2. Additional training in supply chain, business, production operations, or related fields preferred.

3. Prior experience in inventory control, purchasing, or manufacturing operations preferred; fenestration industry experience highly desirable.

PHYSICAL REQUIREMENTS:

  • Regularly required to sit, stand, walk, talk, and hear.
  • Occasional need to use hands to finger, handle, or feel; reach with hands and arms.
  • Must occasionally lift or move up to 25 pounds.

WORK ENVIRONMENT:

  • Work is performed in both an office and manufacturing environment.
  • Routine use of computers, phones, and standard office equipment.
  • Occasional exposure to noise, temperature variation, and normal manufacturing conditions.
