CLASS TITLE: DISTRICT Athletic DIRECTOR

REPORTS TO: Director of Operations/Designee

SUPERVISES: Assigned Personnel

APPROVED:  June 4, 2026

PAYSCALE: Board Approved Stipend

 

Requirements stated herein are minimum levels of knowledge, skills and/or abilities to qualify for this position. BASIC FUNCTION

The District Athletic Director provides leadership in planning, implementation, coordination, supervision, and evaluation of KHSAA athletic programs for the middle and high school. The District Athletic Director promotes extracurricular athletic activity that fosters skill development, understanding of sports, and appreciation for a variety of athletic activities and programs, teaming, and sportsmanship for students and adults. The District Athletic Director reports to the Director of Operations.

 

COACHING GUIDELINES

The District Athletic Director is not permitted to serve as a head coach in the district.

 

WORK HOURS

Maximum flexibility in working hours is required. The Director of Operations and the District Athletic Director will collaboratively develop a working schedule that best meets the needs of student athletes. The standard work hours of 8:00am-3:30pm referenced in Board Policy 03.1332 does not apply to this position.

 

REPRESENTATIVE DUTIES

 

Athletic Events

  • Be present or arrange for a school representative to be present at all home games and assign a head coach to assume responsibility at all away games.
  • Supervise on-site athletic activities and perform athletic-related administrative duties during the school year as needed.
  • Arrange for employees for all home games including ticket sellers and takers, police officers, custodians, timekeepers, scorekeepers, and other required personnel.
  • Arrange for the availability of medical supplies at all home contests.
  • Arrange for the availability of ambulances for home contests as required by KHSAA.
  • Work with KHSAA regional assigning secretaries to ensure KHSAA officials are available for KHSAA events.
  • Ensure payments for individuals serving as KHSAA officials with school bookkeeper.
  • Assume responsibility for cancellation of games as circumstances require safeguarding athletic participants and district resources and rescheduling in the event of cancellation and notification to Director of Operations.

Athletic Trainer

  • Recommend an Athletic Trainer contract to the board of education to provide health and safety services for coaches and athletes.
  • Work with the contracted Athletic Trainer to educate students, parents, and coaches on proper training protocols to minimize injury.

Booster Clubs

  • Obtain and share with the board of education, the names of booster club officers, Federal Employer Identification (FEIN) and a copy of the annual budget of each booster club within the first thirty (30) days of the school year or within thirty (30) days of the first transaction of a booster club.
  • Obtain the annual financial report, receipts, expenditures, and beginning and ending balances of each booster club by July 15th for the year ending June 30th.
  • Act as a liaison between coaches, the athletic booster club, and other Lincoln County Schools athletic organizations.

Budget

  • Work with principals to prepare and maintain a budget for athletic programs and assist the Director of Operations in developing athletic facility budgets.
  • Attend the annual training for the Accounting Procedures for School Activity Funds (Redbook).
  • Provide orientation and professional development for booster clubs concerning Redbook.

Communication

  • Maintain an open line of communication with local athletic teams.
  • Maintain an open and constant line of communication with principals to fulfill both the middle school and high school athletic programs.
  • Coordinate publicity and news releases to the media with the Director of Operations.
  • Arrange for videotaping of key middle and high school athletic events in coordination with the Director of Operations.

Equipment

  • Keep an updated inventory of athletic equipment and uniforms.
  • Keep supplies, equipment, and uniforms in satisfactory condition, and order all new and replacement supplies, equipment, and uniforms when necessary.
  • Inspect all athletic areas for cleanliness and the proper storage of all athletic supplies, equipment, and uniforms.
  • Provide each coach with equipment, team medical supplies, and uniforms prior to the season and ensures that each coach returns all equipment, unused supplies, and uniforms using a checklist.

Facilities

  • Schedule the use of all athletic facilities for middle and high school games and practices injuring school procedure and in coordination with principals.
  • Coordinate with the Director of Operations to see that all playing surfaces are properly conditioned for all home games.
  • Coordinate with non-school personnel the use of district athletic facilities.
  • Coordinate the use of district facilities and fields to meet the needs of the middle school, high school, and community.
  • Assist Director of Operations with inspecting facilities and recommending repair or maintenance in a timely manner prior to events.
  • Assist Director of Operations on initial layout and lining of the athletic fields at the beginning of each season and for special events.

Improvement

  • Promote and model good sportsmanship and maintain an active program that welcomes competing teams, guests, and game officials.
  • Work with the school administration, community organizations, and state athletic directors to improve and promote the athletic program.
  • Serve on district and community committees relating to athletics and recreation as requested.
  • Develop, review, and revise the athletic handbook and any athletic agreements that each athlete, parent, and coach must abide by, with recommendations from administration and coaches, and subject to school district approval.

Meetings

  • Conduct mandatory pre-season athlete, parent, and coaches’ meetings per district policy.
  • Represent the schools and district at KHSAA meetings and events.
  • Meet regularly with the Director of Operations to discuss challenges, successes, and needs of the athletic program.
  • Consult with school administration on the monthly athletic calendar.

Parent Guardian Meetings

  • Enforce a 24-hour cool down period before parents/guardians meet with a coach.
  • Schedule and attend all meetings between parents/guardians and coaches.
  • Follow a chain of command of:
    • Athlete/parent to coach
    • Coach to athletic director
    • Athletic director to principal.
    • Principal to Director of Operations

Personnel

  • Supervise all head coaches at the middle and high school.
  • Evaluate athletic programs on an annual basis and recommend and implement changes to improve athletic programs.
  • Work with the school principal in interviewing and making recommendations to renew coaches or hire new coaches.
  • Work with the school principal to report all hires to district office to initiate the application and background investigation processes.

Reports

  • Report, document, and file all athletic injuries per district protocols.
  • Prepare reports as required by the school administration, Superintendent, Board of Education and KHSAA.

Required Trainings

  • Ensure all coaches complete the required KHSAA trainings.
  • Provide orientation and professional development for coaches and other athletic personnel.
  • Provide orientation and professional development for coaches and other athletic personnel concerning Redbook.

Rules

  • Follow all rules and regulations of the KHSAA, including preparing eligibility lists, submitting schedules, dues, team records, and other documents that pertain to KHSAA.
  • Follow all school rules and regulations and school board policy.
  • Work with coaches to make sure that all student athletes and parents know the rules and regulations.

Student Athletes

  • Verify that all participants have a physical examination, proper permission forms, and insurance verifications before the start of tryouts per school board policy.
  • Check student eligibility per KHSAA and school board policy.
  • Plan, supervise, and attend recognition programs for school athletes.
  • Plan, supervise, and attend “college signings” for school athletes.
  • Implement district attendance, behavior and tardy guidelines for student athletes.
  • Consult with school administration in resolving student athlete problems and issues.
  • Communicate and enforce the supervision of student athletes.

Title IX

  • Serve as Title IX Coordinator.
  • Complete Title IX reports.
  • Serve as the point of contact for Title IX audits/reviews.

PHYSICAL DEMANDS

The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out essential job functions.  

  • Persons performing service in this position classification will exert 10 to 20 pounds of force frequently to lift, carry, push, pull, or otherwise move objects.
  • This type of work will involve sitting most of the time but will involve walking or standing for extended periods.
  • The employee is frequently required to supervise students requiring the employee to match the walking speed of the student and may at times require the ability to run to safeguard students.
  • Perceiving the nature of sound, near and far vision, depth perception, providing oral information, the manual dexterity to operate equipment and use hand tools, and handle and work with various materials and objects are important aspects of this job.

EDUCATION & EXPERIENCE

Any combination of experience and training that would likely provide the required knowledge and skills is qualifying. A typical way to obtain the required knowledge and skills would be:

 

Experience:

Experience as an athletic director or head coach.

 

Education:

Equivalent to the completion of a Bachelor of Arts or higher degree from an accredited institution.

 

LICENSES & OTHER REQUIREMENTS

Possession of certification as required by Kentucky law.
