EXTERNAL CONTACTS: General Public; State Examiners; Parents; Vendors
JOB SUMMARY: Employee is responsible for all bids associated with maintenance/transportation. Performs general clerical duties as assigned.
JOB DOMAIN
A. TELEPHONE/ RADIO COMMUNICATIONS, and Bus Routing System Maintenance:
Receives all calls from bus drivers regarding bus problems and forwards information or calls to the appropriate individual. Receives calls from principals and school custodians regarding maintenance problems. Takes appropriate information and forwards it to the appropriate individual. Receives calls from Central Office and relays information to the Maintenance Supervisor or Shop Foreman. Receives calls from parents regarding complaints and problems. Forwards information to the appropriate individual for resolution. Answers radio calls from drivers regarding bus or student problems. Dispatches mechanics or maintenance personnel. Maintains radio contact with the Transportation/Maintenance Directors. Maintains/Updates Bus Routes on the Bus Routing Software with the correct information, addresses, and drop-off and pick-up times of students being transported by buses...
B. ANNUAL BIDS: Collects and edits information and quantities, and other specifications. Prepares bids for items purchased annually, i.e., gas, fuel oil, and paint. Work with the Maintenance/Transportation Director on preparing bids.
C. BUS REPORTS: Reviews driver's monthly reports for accuracy. Compiles a monthly
summary report for all buses and compiles an annual report. Maintains daily gas usage sheets.
Maintains records made on city buses for billing purposes.
D. GENERAL CLERICAL: Types reports, memos, payroll materials, bus repair, work orders, and materials for Central Office. Produces records and responds as directed to correspondence, research, reports, notices, recommendations, and materials needed for an efficient office operation. Maintains accurate electronic and non-electronic filing systems. Orders and maintains office supplies. Arranges for technical support, servicing, and effective operation of office technology and office machines. Responds to inquiries, requests, constructive feedback, concerns, and /or complaints in a timely and professional manner. Properly uses/cares for equipment and material resources of the school system and effectively supervises/monitors others in the care, maintenance, and use of tools, equipment, and inventory.
E. TIME SHEETS: Verify that time sheets are completed by the employee and signed by the supervisor.
Total time sheets before submitting to the Payroll Clerk. Maintains leave file on each employee; records leave used by each employee, and fills out leave forms. Reports absences and takes leave in accordance with Board Policies and Procedures.
F. BUDGET: Assist in developing and monitoring Maintenance/Transportation budget.
QUALIFICATIONS
A. KNOWLEDGE, SKILLS, AND ABILITIES: Basic knowledge of computerized inventory
control systems. Knowledge of a centralized accounting system. Knowledge of computers, data processing, and word processing. Knowledge of general office equipment. Knowledge of department policies and procedures. Ability to communicate with superiors/school officials, co-workers/general public in person, over the phone, and on the radio. Writing skills to prepare correspondence, complete forms, time sheets, etc. Basic math skills. Reading skills to comprehend local Board policy and new legislation. Ability to work with the general public. Knowledge of state laws and policies concerning bids. Knowledge of vendors and the Chart of Accounts. Ability to establish and maintain effective working relationships with system personnel. Performs general office/receptionist duties. Attends professional meetings. Assists in any other department when necessary.
B. OTHER CHARACTERISTICS: High School diploma or equivalency with additional college
Level course work in computer programming, business machines, and three years of office accounting experience, preferred, and inventory control. Any combination of education and experience that meets the necessary qualifications listed above will be considered. Employee will become certified in Facilities Assessment and Capital Planning through attending State training sessions.

PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to sit, stand, walk, and use hands to type, to handle, or feel objects, equipment, or controls necessary to run the equipment in the office. The employee is frequently required to talk and hear. The employee is occasionally required to reach with hands and arms, climb stairs, bend, stoop, squat, and kneel. The employee must occasionally lift, push, pull, carry, and/or move up to 50 pounds. Specific vision abilities required by this job include near vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

EVALUATION
Performance of this job will be evaluated annually or more frequently if needed. Evaluation is to be done by the Director of Maintenance and Transportation.
TERMS OF EMPLOYMENT
A. Twelve Months. (240 days)
B. Salary to be established by District Salary Schedule.
