As the Business Office Manager, you will serve as the operational and administrative backbone of the hospice office, supporting patient intake, HR processes, compliance, and daily operations. In this role, you will:
Serve as the first point of contact for all new patient referrals and admissions within the state
Coordinate and complete the full intake process, including collection of demographic information, insurance verification, physician orders, consent forms, and creation of the electronic medical record
Ensure all required admission documentation is accurate, complete, and uploaded within 24–48 hours of admission
Communicate with referral sources, hospitals, facilities, physicians, and clinical teams to facilitate timely admissions
Manage onboarding for all new hires, including I-9 documentation, background checks, licenses/certifications, health screenings, and hospice-specific requirements
Maintain employee files (electronic and paper) to ensure full compliance with company, state, and federal regulations
Coordinate annual competencies, mandatory trainings, TB testing, flu vaccination documentation, and other recurring requirements
Assist with payroll coordination and time-off requests as needed
Maintain organized records and calendars for all licensure and compliance deadlines across the state
Order and maintain inventory of office supplies, medical forms, marketing materials, and equipment
Oversee office cleanliness, maintenance, and safety, coordinating with vendors as needed (janitorial, IT, equipment repair, etc.)
Manage incoming and outgoing mail, faxes, and packages
Provide administrative support to clinical and leadership teams, including scheduling, meeting coordination, and documentation
Ensure a welcoming, professional, and organized environment for staff, patients, families, and visitors
Perform additional administrative duties as needed in support of the team and overall mission
