We're seeking a detail-oriented and organized Estate Administration Assistant to join our small but dedicated legal team. You'll support attorneys in all phases of estate and trust administration, including probate, small estate, and trust matters. This role requires excellent communication, organization, and follow-up skills, along with the ability to manage multiple tasks and deadlines.
Compensation:$19 - $20.5 hourly
Responsibilities:- Complete legal research as needed under the supervision of attorneys and paralegals
- Assist with the creation of various litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents a needed
- Take care of administrative tasks and office correspondence by answering phone calls and emails, communicating with opposing attorney offices, taking dictation, and informing the team of upcoming deadlines
- Ensure client billing is processed properly using daily time records with assistance from the accounting department
- Undertake other duties as needed to ensure the firm operates efficiently
- Prepare and file legal documents for probate, small estate, and trust matters
- Communicate consistently with clients, beneficiaries, creditors, and financial institutions
- Track deadlines and manage task lists to ensure timely case progression
- Maintain and update case files and legal software (Clio) with relevant information
- Coordinate and facilitate asset transfers, distributions, and estate accountings
- Draft and record deeds, affidavits, notices, and inventories
- Ensure compliance with legal timelines and creditor notification requirements
- Support attorneys with document drafting, communication, and follow-up
- Close matters upon completion and ensure the return of original documents to clients
- Applicants must have excellent communication skills and organizational skills
- Ability to work effectively in a fast-paced environment and meet deadlines with quick turnaround times
- Comfortable working with all Microsoft Office products
- High school diploma or equivalent is required; associate’s degree is a plus
- Work well in a team environment and positively contribute to office culture
