We are currently seeking a person who identifies strongly with our mission and core values to join our team in Seattle, WA as a Low Vision Clinic Services Coordinator for our Low Vision Clinic and Store. The ideal candidate will have 1-2 years experience in a medical office setting, be knowledgeable and experienced using Outlook and Excel, have strong attention to detail and excellent communication and customer service skills. Purpose: Provides excellent customer service support and scheduling for the Low Vision Clinic. Primary responsibilities include providing customer service support to the Low Vision Clinic and Independent Living Program (ILP) as well as occasional Low Vision Store support. This is a highly focused position to ensure a service-oriented and professional working environment by being knowledgeable about medical appointment scheduling and related practices, excellent customer service and supporting the low vision clinic office setting. Responsibilities: Handles administrative duties for clinic patients and ILP participants, including completing intakes, scheduling appointments, handling related inbound and outbound calls, providing resources and gathering & filing necessary paperwork Performs duties related to patient check in and check out processes in medical setting. Demonstrated ability to handle confidential information and documents in accordance with HIPAA privacy requirements and Department protocols. Works alongside Retail Sales Associate to adhere to store inventory management processes and practices. Ensures smooth day to day workflow by providing comprehensive administrative support and coordinating communication between patients and clinical staff. General understanding of medical referral and insurance collection and billing processes. Familiarity with nonprofit healthcare operations, including community health grants, county levies, or public assistance programs. Requirements: AA or BA and or equivalent job knowledge or 2+ years in medical field or similar job role. Excellent communication skills, both written and verbal. Strong knowledge of customer service techniques and processes. Exceptional analytical and listening skills. Natural flair for interacting with people. Experience with CRM, POS, and data management technology. Basic administrative skills: PC, Microsoft Office Applications, especially Outlook calendar . Professional and friendly demeanor, capable of working with customers, patients, clients, and internal stakeholders. Highly organized, high level of attention to detail and record keeping. Dependable, with ability to work both independently and operate well in a flexible and multi-team environment. Ability to lift up to 25 lbs. Ability to work as scheduled.
