Duties
- Oversee front desk operations, including greeting visitors and managing multi-line phone systems with professionalism and courtesy
- Handle calendar management, scheduling appointments, meetings, and coordinating events for staff and leadership
- Maintain accurate records through data entry, filing, proofreading, and managing office documentation using Microsoft Office and Google Workspace tools
- Manage office supplies inventory, place orders as needed, and ensure the workspace remains organized and efficient
- Provide exceptional customer support via phone and in-person interactions, demonstrating excellent phone etiquette and customer service skills
- Assist with bookkeeping tasks using QuickBooks or similar software to support basic financial recordkeeping
- Support administrative functions such as typing correspondence, managing emails, proofreading documents, and supporting personal assistant duties when required
Requirements
- Proven experience in office management or administrative roles with strong clerical skills and organizational abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with multi-line phone systems, data entry, filing systems, and general office equipment
- Excellent communication skills with a professional demeanor; bilingual abilities are a plus
- Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Experience with bookkeeping software such as QuickBooks or similar platforms is preferred
- Previous experience in customer service roles such as dental or medical receptionist is advantageous
- Demonstrated ability to handle confidential information discreetly and maintain high standards of accuracy in proofreading and data entry
