Duties
- Greet patients warmly and professionally, creating a friendly atmosphere that encourages trust and comfort
- Schedule appointments efficiently using dental practice management software such as Eaglesoft or Dentrix
- Verify insurance coverage, perform insurance eligibility checks, and handle insurance claims processing with systems like Epic, Meditech, or Athenahealth
- Manage patient check-in and check-out processes, including collecting payments and explaining treatment plans
- Maintain accurate and organized dental records and documentation review to ensure compliance with HIPAA regulations
- Answer multi-line phone systems with excellent phone etiquette, addressing patient inquiries promptly and courteously
- Assist with medical billing, CPT coding, ICD coding (ICD-9/ICD-10), and Medicare claims to support accurate financial transactions
- Handle office administrative tasks such as filing, faxing, copying, and managing electronic health records (EHR systems) like eClinicalWorks or Meditech
- Coordinate patient intake procedures and ensure all necessary forms are completed accurately before appointments
- Support office management by maintaining supplies, managing appointment schedules, and ensuring a clean, organized front desk environment
Experience
- Prior experience working in a dental clinic or medical office environment is highly preferred
- Demonstrated proficiency with dental terminology, medical terminology, and health information management systems such as Eaglesoft or Dentrix
- Strong computer skills including Microsoft Office suite (Word, Excel) and familiarity with EMR (Electronic Medical Records) systems like Epic or Athenahealth
- Experience with insurance verification processes and medical billing/coding (ICD-10/ICD-9/CPT) is essential
- Excellent customer service skills with the ability to communicate effectively in bilingual settings is a plus
- Knowledge of HIPAA regulations to ensure patient confidentiality and data security
- Ability to handle multi-line phone systems efficiently while maintaining professionalism at all times
- Previous office management or administrative support experience in healthcare settings will be advantageous
