About the RoleWe are seeking a sophisticated Operations Manager to serve as the "integrator" for our ABA therapy agency. This is a central leadership role responsible for the seamless coordination between our administrative, billing, intake, and clinical support departments.
Unlike a retail or floor manager, you will be managing professional workflows, departmental KPIs, and corporate strategy. You will ensure that as our agency grows, our internal systems remain scalable, compliant, and efficient.
Key Responsibilities- Cross-Departmental Leadership: Manage and mentor administrative heads across billing, HR, and intake to ensure unified company goals.
- Performance Management: Oversee the professional development of office-based staff, conducting performance reviews and optimizing headcount.
- Systems Architecture: Evaluate, improve, and maintain internal SOPs and practice management software to increase operational throughput.
- Data-Driven Oversight: Track and analyze departmental metrics (utilization rates, billing cycles, and onboarding timelines) to report to executive leadership.
- Compliance & Scale: Ensure all office operations align with healthcare regulations while building the infrastructure needed for company expansion.
- Professional Management Experience: Minimum 3–5 years of experience managing professional staff in a corporate office, healthcare administration, or professional services environment.
- Operational Expertise: Proven track record of managing multiple departments and complex, office-based projects simultaneously.
- Tech Savviness: Advanced proficiency with CRM/Practice Management software, G-Suite/Microsoft 365, and project management tools (Asana, Monday.com, etc.).
- Communication: Exceptional verbal and written communication skills suited for a professional healthcare setting.
- Industry Knowledge: Prior experience in ABA Therapy, Behavioral Health, or Medical Practice Management is highly preferred but not required for a candidate with strong corporate ops background.
