Job Summary:

LIGHT MedSpa is seeking a highly organized and proactive office manager to perform the day-to-day operations. The ideal candidate will be detail-oriented, able to handle confidential information with discretion, and have excellent communication and multitasking skills. This role will play a key part in ensuring the smooth operation of the business and will involve a mix of administrative, operational, and project management responsibilities.

Key Responsibilities:

  • Manage and prioritize the schedule, including meetings, appointments, and travel arrangements.
  • Act as the primary point of contact between the CEO and internal/external stakeholders, including clients, vendors, and staff.
  • Prepare correspondence, reports, presentations, and other documents as needed.
  • Assist in managing and overseeing daily operations of the MedSpa, including liaising with team members and ensuring efficient workflow.
  • Coordinate special projects, events, and marketing initiatives in collaboration with the MedSpa team.
  • Handle confidential and sensitive information in a professional and discreet manner.
  • Monitor and respond to emails and communications on behalf of the CEO.
  • Support in financial management tasks, including budgeting, invoicing, and expense tracking.
  • Assist in human resources-related tasks, such as recruitment, onboarding, and staff scheduling.
  • Perform other administrative tasks, including filing, record-keeping, and office supply management.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or related field not required but preferred.
  • Minimum of 3 years of experience as an Executive Assistant, preferably in a healthcare or spa-related industry.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management

Job Type: Part-time

Pay: $18.00 per hour
