Job Summary:
LIGHT MedSpa is seeking a highly organized and proactive Executive Assistant to support the Owner and CEO in day-to-day operations. The ideal candidate will be detail-oriented, able to handle confidential information with discretion, and have excellent communication and multitasking skills. This role will play a key part in ensuring the smooth operation of the business and will involve a mix of administrative, operational, and project management responsibilities.
Key Responsibilities:
- Manage and prioritize the CEO’s schedule, including meetings, appointments, and travel arrangements.
- Act as the primary point of contact between the CEO and internal/external stakeholders, including clients, vendors, and staff.
- Prepare correspondence, reports, presentations, and other documents as needed.
- Assist in managing and overseeing daily operations of the MedSpa, including liaising with team members and ensuring efficient workflow.
- Coordinate special projects, events, and marketing initiatives in collaboration with the MedSpa team.
- Handle confidential and sensitive information in a professional and discreet manner.
- Monitor and respond to emails and communications on behalf of the CEO.
- Support the CEO in financial management tasks, including budgeting, invoicing, and expense tracking.
- Assist in human resources-related tasks, such as recruitment, onboarding, and staff scheduling.
- Perform other administrative tasks, including filing, record-keeping, and office supply management.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or related field not required but preferred.
- Minimum of 3 years of experience as an Executive Assistant, preferably in a healthcare or spa-related industry.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management
Job Type: Part-time
Pay: $18.00 per hour
