What are the responsibilities and job description for the Franchise Development Coordinator & Executive Assistant position at Liftology?
This role is a hybrid work location: ~75% remote from home and ~25% in office in Salt Lake City, UT.
Role:
Franchise Development Coordination:
- Manage all inbound and outbound franchise development communications, including broker communications, territory availability checks, candidate referrals, inbound calls, website inquiries, and ongoing candidate correspondence. Assist with scheduling coordination, pipeline management, follow-up activities, and proactively advancing candidates through each stage of the franchise development process.
- Maintain accurate CRM records, pipeline reporting, stage progression, candidate communications, and ongoing franchise development updates.
- Coordinate and participate in franchise development pipeline calls, internal update calls, and ongoing sales process reporting.
- Deliver Franchise Disclosure Documents (“FDDs”) in compliance with applicable FTC and state franchise regulations, monitor all disclosure timing requirements and maintain records of disclosure receipts, acknowledgments, candidate surveys, and related franchise development documentation within Zoho and Company systems.
- Schedule, coordinate, and manage Meet the Team Days (“MTTD”).
- Coordinate execution, collection, organization, and storage of franchise agreements and related franchise documents in Company Google Drive systems.
- Maintain territory mapping, territory availability records, master ZIP code records, and assist with franchise state registration coordination and related franchise compliance activities.
- Support franchise development marketing, branding, and business development initiatives, including LinkedIn activity, website updates, content coordination, YouTube and podcast exposure, broker communications, and related promotional efforts.
- Proactively analyze franchise development pipeline activity, broker performance, referral trends, candidate engagement data, and lead source effectiveness to identify opportunities for growth, improved conversion, enhanced broker relationships, and development of new lead generation channels.
- Perform such other related franchise development duties, responsibilities, and projects as may be reasonably assigned from time to time.
Corporate executive administrative support:
- Provide administrative, operational, and logistical support for company meetings, training programs, conferences, and events.
- Coordinate travel arrangements, scheduling, calendars, meeting preparation, and other executive support activities as requested.
- Provide support for corporate initiatives and special projects across departments, including operations, franchise development, marketing, technology, and training.
- Assist with the organization, maintenance, and administration of corporate records, files, forms, templates, and internal resources.
- Support the preparation, coordination, and distribution of presentations, reports, correspondence, and other business communications.
- Provide marketing collateral and brand support as requested, including building and maintaining a partner merchandise store and branded marketing resource library for Company-approved promotional materials, apparel, and collateral.
- Assist with Company technology platforms and systems used by corporate personnel and franchisees as requested.
- Assist with CRM administration, data entry, reporting, document management, and other operational support activities.
- Coordinate vendor relationships, ordering, subscriptions, office supplies, and other administrative functions as requested.
- Assist with headquarters site management, office organization, and facility-related activities as requested.
- Provide support for franchise onboarding, training preparation, candidate communications, and related franchise development activities as requested.
- Perform other administrative, operational, coordination, and special project duties as may be reasonably assigned from time to time in support of the Company's business objectives.
- Provide support to the Chief Financial Officer in the preparation, calculation, implementation, and administration of weekly financial processes and related activities.
Preferred experience:
- Experience supporting sales teams or franchise development organizations
- CRM experience (Zoho, Salesforce, HubSpot, or similar)
- Event planning or project coordination experience
- Experience working with franchise brokers or franchise systems
- Bachelor's degree preferred but not required

Hours & Location:

Salary & Benefits:
- Approximately $50,000 - $85,000 annually, depending on experience
