Job Title: Administrative Assistant

Is responsible for providing Administrative Assistant supports to Lifeworks Programs.Protects and enhances the rights of individuals in program. Complies with all principles of Human Rights, D.P.P.C., Department of Developmental Services, the Division of Medical Assistance and all other applicable funding regulations as adhered to by Lifeworks.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
This position has no supervision responsibilities.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

EDUCATION And/or EXPERIENCE
High School Diploma or GED; five years related experience and/or training; or equivalent combination of
education and experience.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and
procedure manuals. Ability to write and proofread routine reports and correspondence. Ability to speak
effectively before groups of individuals or employees of an organization.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common
fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or
diagram form. Ability to deal with problems involving several concrete variables in standardized
situations.
VEHICLE/TRAVEL
Requires a legally insured and inspected automobile for use to be presented at work and available for use
during working hours. If the program has an agency vehicle, staff are expected to drive it as needed.
CERTIFICATES, LICENSES, REGISTRATIONS
Valid and current driver’s license from the state of residency.

- Answers and screens telephone calls as necessary.
- Checks messages on general voicemail box and forwards same to appropriate person.
- Greets visitors and notifies appropriate area or person.
- Meters outgoing mail with correct postage.
- Makes copies of correspondence or other printed materials. Prepares outgoing correspondence, including mail, email and faxes.
- Sorts incoming mail and distributing same to appropriate staff member.
- Reserves conference rooms when requested.
- Maintains log and system of tracking the use of equipment associated with the conference rooms.
- Maintains current computerized information on all Lifeworks Programs. This includes individuals receiving services including guardian and family listing as well as staff assigned to each location.
- Assists Administrative Assistants and Executive Assistant with orders for supplies and arranging equipment maintenance/service calls.
