Job Description:
Lifetime Roofing and Renovation Inc. is looking for a dedicated and driven Production Assistant to join our fast-growing team. We are seeking a responsible, people-oriented, and self-motivated individual who thrives in a fast-paced office environment with multiple moving parts.
This role is ideal for someone who is highly organized, tech-savvy, and comfortable working within CRM systems and digital platforms. You will play a key role in supporting daily operations, coordinating communication, and ensuring all project data is accurate and up to date.

Note: This is not a remote position.
Summary of Role:
As a Production Assistant, you will spend your time in the office receiving and reviewing files, managing data entry, and supporting the Project Management team. You will be responsible for maintaining accurate records, providing timely follow-up, and communicating project status clearly both verbally and in writing.
You will work closely with Project Managers to ensure all files, documents, and client information are properly organized, updated, and accessible.
Responsibilities:
- Utilize CRM systems daily to manage, update, and maintain accurate client records
- Scan, organize, and properly name files for efficient digital storage and retrieval
- Upload documents into the CRM, ensuring all files are correctly assigned and categorized
- Enter detailed and accurate notes into the appropriate customer accounts
- Issue warranties and maintain proper documentation within the system
- Create and process invoices with a high level of accuracy and attention to detail
- Build and maintain organized digital files, ensuring all information is complete and error-free
- Draft and send professional, clear, and timely email communications
- Answer inbound phone calls and provide accurate information or route inquiries appropriately
- Thoroughly and accurately enter, update, and manage client and patient information in the database
- Identify and resolve data discrepancies to maintain system integrity
- Work efficiently in a fast-paced, tech-driven environment while managing multiple tasks
- Strong attention to detail

Qualifications:
- Strong computer and technical skills (CRM experience highly required)
- Proficiency in Microsoft Office, especially Excel, Google Sheets
- Excellent organizational and multitasking abilities
- Strong attention to detail and accuracy
- Professional communication skills (written and verbal)
- Ability to work in a fast-paced, team-oriented environment
- Reliable, punctual, and self-motivated
Education and Experience:
- High School diploma/ GED
- Data entry skills and experience
- Knowledge of customer service principles and practices
- Customer Service experience required
- Must be friendly, outgoing, “people oriented"
- Strong Verbal and written communication skills
- Self motivated
