What are the responsibilities and job description for the Client Services Representative position at Lifetime Recovery?
We are looking for to hire a Night Shift - Part-Time Client Services Representative - Primary Responsibilities. Hours will be Monday - Thursday 5:00 PM - 8:30 PM, and occasional Saturdays
Client Engagement & Outreach
- Conduct daily outreach at the beginning of each shift and provide end-of-shift reports.
- Track client attendance using projected schedules and group attendance records.
- Initiate attendance confirmation via text message and follow up with phone calls when necessary.
- Document all outreach efforts and client communications within the EMR.
- Report client concerns, barriers to treatment, and notable behaviors to the treatment team.
- Escalate urgent client safety or well-being concerns immediately to appropriate leadership and clinical staff.
Treatment Coordination & Compliance
- Coordinate ancillary services and client support needs.
- Ensure attendance at medical evaluations, medication management appointments, and prescription refill appointments.
- Conduct compliance reviews every Monday, Wednesday, and Friday.
- Implement client re-engagement efforts and document all outreach attempts.
- Issue written notices to non-compliant clients and collaborate with the treatment team on next steps when compliance requirements are not met.
- Monitor treatment participation and ensure clients meet program requirements, including group therapy, individual counseling, case management, and medical appointments.
- Communicate regularly with case management and clinical staff regarding client needs and referrals.
Intake & Administrative Support
- Prepare for incoming admissions by reviewing intake information and coordinating necessary documentation.
- Collect copays and deductibles, establish payment plans when appropriate, and issue receipts.
- Complete consents, releases, and admission paperwork.
- Ensure all demographic, insurance, emergency contact, and medical information is accurately entered into KIPU.
- Maintain compliance with all required treatment, financial, HIPAA, and discharge planning documentation.
- Record attendance, maintain scheduling records, upload sign-in sheets, and manage client files.
- Order daily lunches while adhering to the designated budget, and upload all meal receipts through the Bill Divvy application for proper documentation and expense tracking.
- Discharge Planning & Aftercare
- Coordinate discharge planning support for clients approaching discharge.
- Communicate with Admissions regarding re-engagement opportunities for clients considering discharge.
- Notify the Alumni Coordinator regarding clients who are discharging, disengaging, or struggling in treatment to ensure appropriate aftercare support is offered.
Facility Operations & Team Collaboration
- Maintain a safe, clean, and supportive environment for clients and staff.
- Assist with inventory management, facility upkeep, and supply monitoring.
- Collaborate closely with admissions, clinical, medical, case management, and administrative teams.
- Participate in weekly staff meetings and contribute to problem-solving and program improvement initiatives.
- Adhere to all company policies and procedures outlined in the Employee Handbook.
Salary : $18 - $20
