JOB SUMMARY
The Inventory Associate is responsible for managing and monitoring food inventory for the Meals on Wheels program and related food service operations. This position oversees the tracking of incoming and outgoing products, coordinates food and supply orders, and maintains accurate inventory records to support daily meal production and delivery needs.
This role requires strong organizational, multitasking, and problem-solving skills, as well as the ability to adapt to changing operational priorities. The position regularly works in both hot and cold environments, including kitchens, storage areas, coolers, and freezers.
The employee in this position is responsible for performing the following essential duties, with or without reasonable accommodation:
- Maintain accurate food, supply, and inventory records through efficient data entry and tracking systems.
- Assist with stock counts, inventory audits, and discrepancy resolution to ensure inventory accuracy.
- Process purchase orders and track incoming deliveries and outgoing food products.
- Operate barcode scanners and inventory management systems accurately and efficiently.
- Monitor inventory levels to prevent shortages and minimize waste.
- Coordinate and place food and supply orders as needed to maintain operational needs.
- Organize and maintain storage areas, coolers, and freezers in compliance with safety standards.
- Assist with receiving, stocking, labeling, and rotating food products.
- Communicate with vendors, kitchen staff, and program teams regarding inventory and supply needs.
- Support compliance with food safety, sanitation, and organizational standards.
- Complete all data entry and purchase orders accurately and within required deadlines.
- Assist with additional operational tasks to support the Meals on Wheels program.
- Lift and move up to 50 lbs. daily as part of warehouse and inventory responsibilities.
- Drive and navigate routes using maps, directions, and GPS systems when needed.
- Demonstrate strong organizational skills and the ability to count and track inventory accurately.
- Follow written and verbal instructions while adapting to schedule changes and unforeseen circumstances.
ESSENTIAL REQUIREMENTS
- Associate Degree preferred
- Must be at least 21 years of age.
- Possess a valid Illinois driver's license and maintain an acceptable driving record.
- Basic computer and data entry skills
- Ability to accurately count, track, and record inventory
- Experience with inventory software, scanners, or warehouse systems (preferred but not always required)
- Strong attention to detail and organization
- Ability to lift and move boxes or products 50 lbs
- Ability to stand, walk, bend, and work for extended periods
- Good communication and teamwork skills
- Reliable attendance and punctuality
- Basic math skills for counting and reconciliation
- Previous warehouse, retail, or inventory experience
- Familiarity with purchase orders, shipping/receiving, or stock audits
